Purchase Requisition and Workflow approval

I am going to give you overview of the client environment and how they want to use Purchase Requisition and Workflow approval and I am hoping you can tell me if it will work or not.

 

  • Client is GP 2013 R2 – This appears to be an adequate version to do Requisitions and have workflow approvals.  Can you confirm?
  • Client is using the desktop Dynamics GP client – Purchase Requisitions can be entered in the GP desktop client?
  • Client is using on premises Exchange server and Outlook desktop application – This will satisfy the approval email requirements?
  • Requisition users will be at least limited users in GP and have access to GP to enter requisitions -
  • Purchase Requisition Approvers will more than likely not be GP users and will not have access to either the GP client or the web client – Can a approvals be done directly from the email without the user having a login to GP?
  • Purchase Requisition Approvers might be using an email solution different then the client email solution (i.e. gmail, other exchange server, etc…) – Can an approver not be part of the Active Directory for domain that the client is sending requisition from?  For Example, I have an approver that is part of another organization, which uses a different email solution, can they receive an email for approval and then approve that requisition.  In addition, if the approver is part of the active directory but receives there email while outside of the domain will they be able to approve the requisition directly from the email without connecting to the domain either via VPN or going on site?
  • Client currently does not have Web Services installed – I think I need to install web services in order to approve via the email, without having to log into GP, can you confirm?

    I know its been a while.

    But have you try use POP3 as requistion approval email requirements?

    Hello Michael,

    I haven't tested that specific scenario. I would assume, however, that if they are able to access their official emails outside the office, then the Email Workflow Actions will inherit that access/privilege from the email platform - e.g. VPN etc.

    Peter thank you for the reply.  One last question.  If all approvers on the same domain, however, those users are not connected to the domain when they are approving requisitions will ports on the firewall need to be opened to allow the approval or rejection request get through to the web services?

    Hello Michael,

    I would confirm 'yes' to most of the statements above. Yes, web services need to be installed to allow 'Email Actions' for workflows. I find it ideal to have the approvers' email be all from one domain. Feel free to engage me further (directly if you wish).
