Importing Fixed Assets GP V10

I am interested in putting our fixed assets in GP in V10.  We own the module and had budget for our VAR to do this.  With the recent issues of the economy, This project was deemed not important enough for now.  Can anyone give me a tutorial on importing FA into GP?  I have done all of the setup in GP per the manuals.

    Hi Patrick,

    Do you currently own integration manager?  If so, that is the easiest way to import the fixed assets.  If not, you will need to follow the steps outlined in the online help  (Microsoft Dynamics GP -> Tools -> Utilities -> Asset Import/Export and then press F1).  This method is quite involved - much too involved to give you a description here that would be any better than the online help.  I've done a several imports this way and it usually takes a time or two to get it right.  I would test it on a copy of the database first and make sure to have a good backup of the live database before you begin as you may have to restore.  If you have some more specific questions as you go through the process, don't hesitate to ask.

    We do own integration manager.  I am not terribly well versed in it.  I can alter an existing integration but have not built one from scratch.  There aren't any canned asset import integrations are there?

    If I use the utility in GP I need to run a process for bothe the general information window and the Asset book window, correct?

     If I go to the Imprt/Exort screen and check the import box, why does it ask for the macro location?  Is GP creating a macro to import the FA data?  I assume I check the box "run after macro creation"  Is the location of the files important, or can I put them wherever I want?

    I would get yourself familiar with integration Manager (there are manuals) because version 10 (Service Pack 2, I think) has an e-connect adapter for Fixed Assets that I have used sucessfully.  It wasn't easy though and using a test database might be your best bet before you push in the final.  To use it, you also have to have e-connect running and hoipefully your VAR set that up during the install.  I found that I also had to enter a fake asset initially just to get the integration to work since e-connect trys to pull the next number for the asset primary key and if one doesn't exist, it gives an error.  Make sure you understand what fields are important, especially Life to date Depreciation and Year to date depreciation on existing assets.  If you push in some assets with IM and they all don't go in properly and you try to re-run the integration, you will also get errors saying that there are duplicates.  I don't remember there being an "Insert and Update" or "Update Only."   You will likely need to "Clear Data" from some of your Fixed Assets tables (Tools, Maintenence, Clear Data)

     You could also run a macro and there is a KB article (CustomerSource) on both importing assets best practices as well as how to use a macro with Microsoft Word Mail merge.  You would essentially be recording yourself entering one asset, then mail merging that code with an excel spreadsheet with all the values.  Basically it loops through your screen for each asset as many times as you have as your number of assets.

     Good Luck, it's a challenge, but you can pull it off.
