To restart Bank Reconciliation by using the current checkbooks, and to clear the old data, follow these steps.
Note Before you follow the instructions in this article, make sure that you have a complete backup copy of the database that you can restore if a problem occurs.
Reconcile the last bank statement in Microsoft Dynamics GP. Make sure that you list all the outstanding transactions that exist as of that reconciliation.
Post all the batches from other modules that would affect the checkbook.
Print an Undeposited Receipt report. To do this, click Reports, point to Financial, and then click Checkbook.
Note Enter a deposit to clear the receipts for any receipts that do not make up an outstanding deposit. Enter a deposit that contains receipts for any receipts that are on an outstanding deposit.
Reconcile bank statements. To do this, follow these steps:
Click Transactions, point to Financial, and then click Reconcile Bank Statement.
Enter the bank statement ending balance, and then enter the bank statement ending date from the statement that was used in step 1.
Specify a cutoff date that is the last day of the month that is being reconciled. This step will prevent the unintentional clearing of transactions from the following months.
In the Reconcile Bank Statements window, click Transactions, and then select all the transactions except the following transactions:
Outstanding transactions in step 1
Any transactions that were entered since the reconciliation in step 1
Open the Posting Setup window. To do this, use one of the following methods:
In Microsoft Dynamics GP 10.0, point to Tools on the Microsoft Dynamics GP menu, point to Setup, point to Posting, and then click Posting.
In Microsoft Dynamics GP 9.0 and in earlier versions, point to Setup on the Tools menu, point to Posting, and then click Posting.
In the Series list, click Financial. In the Origin list, click Reconcile Bank Statement.
Click to clear the Post to General Ledger check box.
Enter an adjustment to make the reconciliation difference zero. This adjustment will affect the checkbook balance. If this checkbook balance already matches the general ledger, let the adjustment post to the general ledger.
Print the Reconcile Edit List report, and then print the Outstanding Transactions report. To do this, use one of the following methods.
Note Make sure that these reports match the reports from the reconciliation in step 1. Specifically, make sure that the outstanding transactions and the Bank Statement Ending Balance match. If any transactions are missing from the Outstanding Transactions report, you must enter them in Bank Transactions, and you must make sure not to post to the general ledger if the transaction has already updated it.
In Microsoft Dynamics GP 10.0, click Print on the Microsoft Dynamics GP menu.
In Microsoft Dynamics GP 9.0 and in earlier versions, click Print on the File menu.
Reconcile. To do this, click Reconcile in the Select Bank Transactions window.
Open the Posting Setup window. To do this, use one of the following methods:
In Microsoft Dynamics GP 10.0, point to Tools on the Microsoft Dynamics GP menu, point to Setup, point to Posting, and then click Posting.
In Microsoft Dynamics GP 9.0 and in earlier versions, point to Setup on the Tools menu, point to Posting, and then click Posting.
In the Series list, click Financial. In the Origin list, click Bank Transaction Entry.
Click to select the Post to General Ledger check box. Also, you can click to select the Post Through General Ledger Files check box if you want to select this check box.
Make sure that the checkbook register contains only the outstanding transactions. Then, make sure that the last reconcile balance in Checkbook Maintenance is the Bank Statement Ending balance.
Make sure that the current checkbook balance matches the general ledger balance.
