Use closed Sales Order information to populate new Project

Hi All,

Hoping the title works for my question...

We sold a manufactured product on a Sales Order. We have to create a Project to perform service work on the product previously sold. Is it possible to use the information from the original Sales Order to populate applicable fields in the Project? Things like serial number, product type, sold to, ship to, etc. We currently lookup the Sales Order in historical data then reenter the information in the Project. Utopia would be to not have to reenter existing information.

Any help is appreciated.

    Hi,

    Can't you create your sales orders directly from a project? That is, each SO is linked to a project from the beginning and if you have to do service work later on you already have the link to the SO through the project associated?

    Hi Ludwig,

    I suppose that is possible however, the company established AX "back when" with Sales Orders for manufactured products. The decision was made to use Projects for service work. The volume of historical data in the Sales Orders is substantial so I suspect migrating all that data would be a task. When generating the Sales Order, it is not known if a project will ever happen. (Think of it as 50,000 widgets a year sold with 500 widgets needing service.) Changing the way the business operates with AX is not much of an option unless there is an easy way to switch things around. I was really hoping that AX has a built in "bridge" for this. If not a bridge, perhaps a means with minimal modification/customization.

    Hello Gooly,

    Thank you for this information/feedback.

    In this case the only standard feature that I see are cases that allow you linking a Sales Order with a customer, project, service order, etc.

    If you create this case from your SO and establish a link to a project then you can create a link between both even if the SO is already invoiced/closed.

    You can open the case from either the project, sales order or customer record in my example.

    Wouldn't that satisfy your requirement?

    Hi Ludwig,

    Look at the big brain on you!! Thank you for the response.

    Boy, do I hope you're right. I have a meeting today with our IT team and will no later if what you propose will work. I get that this may work for project creation moving forward but, I'm also hoping there is ability/opportunity to apply this to historical data.

    I'll post back later today or tomorrow and advise the results.

    Hi Ludwig,

    At the risk of dashing my hopes... Your screen shot looks like a newer version of AX. Can I assume this should work with 2009 as well?
