In GP 2015, how to check who canceled the PO?

    Hi there,

    There is no way out of the box to tell who cancelled a PO. GP tracks the user who created the PO but that's it.

    The only way to track that would be to use some sort of auditing tool or create a trigger on a change in PO Status (which would catch future cancellations depending on how you set the trigger up but won't help with who might have done it on an already-cancelled PO).

    That's a little harder as there isn't a "delete PO" level of security.

    TRX_PURCH_001* is the default task which includes creating a new PO in Purchase Order Entry and Edit Purchase Order Status as well.

    The delete functionality is limited, meaning there are situations after which you can no longer "delete" a PO but you could "cancel" a PO (system functionality drives this, not configuration).

    Off the top of my head I believe as soon as you print ("release") a PO, delete is no longer an option but editing the status to cancel it is. That means, in theory, if you have access to create a PO, you can also delete it but only as long as you haven't yet printed it. After that point, Cancel is the next biggest option a user could impact a PO with and that requires access to the Edit Purchase Order window.

    So, out of the box, the best suggestion I have would be to look at who has access to the Edit Purchase Order Status window, perhaps amending the task that allows creating a PO to separate the 2 functions from each other and create a new task for edit privileges (access to the window and the corresponding reports that are triggered from editing a PO).
