CRM 2011 integration with Sharepoint on-premise: Switching to Sharepoint online

Posted on by 22

Our existing client has CRM 2011 on-premise deployment which is now being migrated to Dynamics 365 Online. CRM 2011 is integrated with Sharepoint 2013 on-premise. We need to migrate the Sharepoint also from on-premise to Sharepoint online. After migration of Sharepoint from on-premise to online, how to restore the documents in Dynamics 365 Online? Is there any well known means to do this? We welcome suggestions.

I assume you're using the standard SharePoint integration btw. CRM 2011 and SP 2013.

When doing the data migration from CRM 2011 to Dynamics 365 Online you'd have to change the Document Management Settings, SharePoint Sites and SharePoint Document Location records to point to the new SP Online site and folder structure.

Hi Pekka,  Thanks for your suggestion. I was more concerned on the new "server side" sharepoint integration with D365 online that uses the "CRM record GUID's" in the document URL's in contrast with earlier List based integration where just the "folder path names" were used. Do we need to write an integration program to build the new document URL's with CRM record GUID's then? Please kindly share your experience here. Thank you.

Since the document locations will now how different Guid that are pointing to them, you will need to create some sort of integration program to do that.

I think there are a couple of third party tools that help with the migration, but regardless the document locations are going to change, and you need to replace them when you do your CRM migration.

    Hope this helps.

    My idea would be:

    1. Migrate all crm data except document location records

    2. Set up server based integration

    3. Migrate all document location records and have that document location from step two as parent

    4. Make sure you keep the same folder structure en relative paths in the new environment for SharePoint documents

The system is pretty simple, as the document location is relative to the parent. The guid is not required, just something CRM generates. The relative path shouldn't change. Only the parent site needs to be configured.

Just curious to know if you have managed to complete the migration. If so, was it straight forward as Martijn suggested ?

To do the SharePoint 2011 or SharePoint 2013 to SharePoint migration, Follow these steps:

    1. Migrate the CRM data except document location records.

    2. Set up document location

    3. Now migrate document records location and then keep the document location as parent.

    4. When you do the migration, you have to keep the path and structure of the database same as earlier.

    I hope this helps!

    Regards.
