Is there a way for Appointments to sync automatically from Outlook to CRM without having to manually choose 'Track in CRM´ or 'Set Regarding'? Or does this have to be done every time?

CRM Online with Exchange (on-premises)
Microsoft Dynamics CRM (on-premises) with Exchange Online
Mix of Exchange/SMTP and POP3/Exchange
Creation of mass email marketing campaigns
Extensibility scenarios like extending EWS/POP3/SMTP protocols and creating custom email providers
Exchange Server 2003 and Exchange Server 2007
Server-side synchronization in CRM Online, or in a Microsoft Dynamics CRM (on premises) deployment that is configured for FIPS 140-2 compliancy, requires a POP3/SMTP email server that is also FIPS 140-2 compliant. Some email servers are not FIPS 140-2 compliant, such as MSN, Outlook.com, or Windows Live Mail.
CRM Online connects with Exchange online with server: https://outlook.office365.com/EWS/Exchange.asmx.
What I can see in your configuration is that you have other server to generate connection that’s why there is an error message indicating that your configuration is not supported by Microsoft Dynamics CRM.
If you want to use mailbox service you could try configuring CRM Outlook or CRM Outlook and Email Router.

I think you need to work with your Exchange administrator to get the details worked out. That's generally something that requires a bit of a deep dive.
I have followed the steps but I get an error. Can you see what´s wrong by looking at my set-up here below?

I am working with Microsoft Outlook 2010 and CRM 2013 Service Pack 1 (online version).
I would think they are both Online then.
First off, what version of Exchange do you have? On premises or Office 365? How about CRM? They both have to either be on-prem or online for SSS to work.
After you have validated that, you need to look up a server profile. If you're all online, there should be one there already and you just choose it. If not, you're going to have to create a server profile for your Exchange server.

I have chosen Server-Side Synchronization in my System Settings but I haven´t 'set' anything up. How do I do that? See picture above.
If you have Server-Side Synchronization set up between your CRM and Exchange, it can also sync appointments automatically.
