Contacts on CRM

Hi,

I'm using CRM for Higher Education. I want to create two separate contact groups within the Sales and Marketing panels at the top of the screen - one will be contacts who are Companies and the other contacts will be Students.

How do I only show Student Contacts under the Sales section and the Companies under the Marketing section? In other words I don't want Contacts to contain every contact I have. I want them split into two different groups.

Thanks

I basically followed your steps and got that part working.

Then as I have students and company contacts, I tried to create two different forms - one for company employees and one for students containing course detail fields etc.

When I wasn't happy with one and deleted it, I got this error since saying I can't create or view my contacts.

Accounts works fine, it's only contacts

    Hi David,

Can you show me a screenshot of your filter criteria

    Thanks

    Hi  Ryan and Mark,

    That worked! Thanks.

However the intricacies of this system are showing their ugly heads again!

I now cannot create or see my contacts. I can add and view accounts but not contacts.

Early days but patience is running thin with this CRM!

    Hi Ryan,

Thanks a million for your in depth response. It's a complicated piece of kit to get your head around alright!

I'll try the suggestion and let you know how it goes!

    Thanks again guys

    David

    RE: Contacts on CRM

    Hi David,

Mark has already suggested the best answer to this.

To add the Option Set, add a New Field to the Contact Entity called "Contact Type", with the Data Type being Option Set, then add your options of "Company" and "Student" into the Options box.  Once you have the field created, add it to your contact form.

You can then create two new views (essentially cloning the Active Contacts view), and use the filter criteria to make one show only Contacts for whom the field "Contact Type" equals "Company" and the other one show only contact for whom the field "Contact Type" equals "Student".  You will then be able to switch between them at will by using the View Selector at the top of the page when you go to Contacts (i.e. the drop-down arrow beside Active Contacts).

In terms of your other request regarding organisations and industry, it's a bit unclear what you mean, but I would advise you to create another question to keep your answer stream clean on here, as it might get confusing if you're getting answers to multiple questions at the same time.

Incidentally, I started using CRM a few years ago, and I was self-taught so I can empathise.  The best thing for you to do is to read as many blogs as you can (see community.dynamics.com/.../b), have a look at http://crmtipoftheday.com/ for ideas of the applications of the system, read The CRM Book from PowerObjects for basic tips& advice (crmbook.powerobjects.com) and use this Forum as much as possible.  Ideally you should also look to get formal training if some of these concepts are challenging to ensure you understand the system in-depth.

    I hope this helps!

    Hi Miguel,

In theory it sounds like it will but I don't know how to lock one contact away from the view of another

    RE: Contacts on CRM

Hi Mark, I'm not having much luck getting this to work.

Similarly I'm trying to create 4 organizations under an 'Industry' tab.

Each will have a contacts section but again, I want only contacts shown to be those associated with that particular organization, not all contacts.

    Cheers

    David

Here is a simple overview of an Option Set (Picklist)

    Hi Mark,

I'm not 100% sure on how the Option Set works.

I'll need to have a play around with it to see how it works in this scenario.

Either way I'll get back to you in case I need further help.

    Thanks!
