Contacts on CRM

Hi,

I'm using CRM for Higher Education. I want to create two separate contact groups within the Sales and Marketing panels at the top of the screen - one will be contacts who are Companies and the other contacts will be Students.

How do I only show Student Contacts under the Sales section and the Companies under the Marketing section? In other words I don't want Contacts to contain every contact I have. I want them split into two different groups.

Thanks

    RE: Contacts on CRM

    Hi,

Why don't you use the accounts for the companies? Is there any major detail for not using it? Because if you want them split it would be best to use the specific entities for the types that you are saying.

    Hi David

CRM Does this as default with Contacts and Accounts, Students would be contacts and Companies would be accounts

With the 2016 Update 1 there is now a lookup that will allow you to select Contacts or Accounts which would make this much easier.

I would advise away from using just Contacts and having a contact type as it would eventually get messy

    Hi Miguel,

    Thanks for the reply.

I am using accounts for the companies but beneath them I have employees as contacts who work for them.

When I then open my Student panel and open contacts, the Company contacts appear also. This is what I want to avoid.

    Hi Mark,

    Cheers for the reply.

I am using accounts for the companies but beneath them I have employees as contacts who work for them.

When I then open my Student panel and open contacts, the Company contacts appear also. This is what I want to avoid.

The reason I want to use the contact entity is because I want to use the social panel to track all interactions with students etc

    Thanks

    David

    RE: Contacts on CRM

    Hi David

A Quick way around that would be to have a Contact Type (Student/Customer) and then have 2 Views and split the views based on Student and Company

    Hi Mark,

I should also mention I have just started learning Dynamics CRM since June of this year so I'm very new to the system.

Can you elaborate on this idea?

Create an entity Student/Customer is it? See ultimately I want to have the contact form layout for both Student and Company Employee

    David,

You might want to maybe restrict the view of the contacts then and show only the contacts marked as students.

For exemple make 2 views (or edit the Active Contacts to one of these) Active Students and Active Employees. You need to have a fields with those two options so you can filter in the view, and put the recorda with the appropriatted type.

Maybe this should work for you.

No i would Still Use Contacts and Accounts

So on the Contact Entity - Create a new Option Set for Customer Type, Call one of them Student and the Other Customer Contact

You would then create 2 System Views (i would advise just to copy the standard view) and put filter criteria so one only shows you Students and the other only shows you Customer Contacts

You can use that option set to filter the data in anyway you want after it is there

    Hi Mark,

I'm not 100% sure on how the Option Set works.

I'll need to have a play around with it to see how it works in this scenario.

Either way I'll get back to you in case I need further help.

    Thanks!
