I was looking into CRM online and i saw that organizations get  5 GB of storage by default and that goes up when you get more professional users. What doesn't make sense to me is that it is $120 for an additional GB of storage. Cloud storage is down to 32 cents a month/GB....so that number doesn't seem to make much sense. I guess my question is.. is that initial 5 GB reached easily?

    If you store lots of attachments it could be. Attachments via the Notes record or via tracked emails that might have attachments. Individual records in the database don't take up that much space.

    For new Dynamics 365 subscriptions activated after 1 April 2019, the default tenant-wide storage capacity will be:

    Database Capacity: 10 GB

    Apps File Capacity: 20 GB

    Apps Log Capacity: 2 GB

    Additional storage entitlements will accrue per D365 Enterprise user licence as follows:

    Database Capacity: @ 250 MB per user

    File Capacity: @ 2 GB per user

    Log Capacity: n/a

    This offers greater flexibility and includes dedicated capacity to manage attachment storage.

    Hi

    On top of what others have already suggested, please see the following for how the storage normally fills up.

    01. In my experience its, not the actual records that take up all the storage. Its the audit logs, process sessions/workflow session records, and other system job logs. If you could perform regular cleanup, you won't fill up storage that fast.  I found if you don't clean up and free up space regularly, it quickly fills up the storage.

    02. The attachment does take storage but it depends on the size of the attachments. If your requirement is to store loads of documents and if more of them are really large in size, you should consider storing documents in Sharepoint by integrating it with CRM rather than using note attachment feature of CRM.
