Fixed Assets

Posted on by 355

We are setting up fixed assets and have some across with an issue with the Account Group ID.  When we select the Class ID, it should default the Account Group ID in the general info of the fixed asset.  It is not doing this.  We even tried to select and save the Account Group ID and it does not save.  The Account Group ID is very important since it directs where the depreciation expense gets charged to on the P&L.

    RE: Fixed Assets

    Hi Mahmoud,

Recommendations how to export the Account Group ID from SQL?  I am trying to export all Fixed assets from one company import them into another.  This is the only field that is not found in any table except for the setup.

    Hi Jonathan,

I feel this issue should be treated as 'By Design' at this moment. In the current FA tables (FA00100 - stores Asset Master record or FA00400 - stores Asset Accounts) doesn't have a field to save the Account Group ID.

Fixing this issue should also handle a scenario where an 'Account Group' of the Class ID selected for an Asset differs with the Account Group on the Asset window.

Any update on the resolution? This is a post that is getting a large number of views so we would like to get a confirmed resolution.

It used to be that the Account Group would show until you did  your first depreciation and then it would go away.  This way you had it available during your setup.  Don't know if they changed something.

I agree, the current account group ID should be displayed on the general screen.  It would give clients the ease of knowing the assets are setup appropriately without having the extra clicks to the Go To menu.  I would like to suggest adding the "roll down" feature to the account groups - similar to the rolldown used for vendor classes.  There are times clients need to make mass changes to accounts for various reasons and changing at the individual asset level is cumbersome. We can do SQL scripting to update, but am asked many times by clients why they do not have the ability to change in mass.

    RE: Fixed Assets

How about inventory class with accounts changed on the class level but not rolled down to items ?

Still the class is shown on the item level. How can we tell the user that the accounts are not changed ! the accounts are shown on the item card ... simply.

I am quite aware of the technical perspective you are touching upon which is totally precise. Although the point I wanted to make is that there are "other" friendly ways ...

At the end of the day, we got different views and plenty of options.

    Thanks for your feedback Naga.

I agree. Ultimate thing is to make the user happy.

My view is more about the technical aspect the core team tried to handle and zeroed on not to display the account group once the asset is saved. For example, there is a change in one of the 8 accounts in the Account Group setup after an Asset is saved (may be people will not do this practically). Displaying the Account Group for that Asset will mean  that the Asset will use the modified accounts of  account group which is not correct as the Asset uses the accounts of the Account Group which it possessed at the time of saving the Asset.

Being a developer, my initial design to take the Asset accounts to assign AA defaults (while working on FA integration with AA feature) is to use the Account Group, but I pulled back after I knew that Asset will not be saved with the Account Group. And I see no wrong in user thinking the same way.

    Hello Naga

I just wanna drop my point of view as I do respect yours. Unlike you, this doesn't make any sense to me. I just dislike the fact that the account group is gone after saving the asset, I always get inquires from clients on why this disappears, while I need to go and convince them that it doesn't !   A better approach would be keeping the field locked, such as in any other card, like the tracking option or valuation method of an item ..etc.

This is absolutely not a core issue, but I do believe that other ways could make the end user life happier.

That's just my own opinion after all ..

In addition to above replies, the reason behind not displaying the Account Group once an asset is saved can be to use the same accounts that the Account Group contain while saving the Asset and avoid affecting Asset  accounts when there is change in accounts of the Account Group in future. It makes sense to me.

    RE: Fixed Assets

Once saved, the account group is gone ... That's the normal behavior. But that doesn't mean that the account is not saved, it is saved and linked.

In addition to the "go to" button, you can check all your fixed asset accounts on the fixed asset Smart List to ensure that all your assets are linked. Otherwise, you don't need to worry about not having the account group shown on the field after the asset is saved.
