Bulk Issuing Customer Statements

(0) ShareShare

Posted on by

Good Afternoon,

Is anyone able to tell me if BC has functionality to bulk generate individual customer statements?

In our previous system we were able to run off the statements and they would all sit in our outlook email drafts ready to be sent off, with each drafted mail picking up the customer email address field and having the attachment just with the pages for the associated customer.

Seemingly in BC we have to run them off individually, or manually send each one in turn from the system. This is very time consuming compared to our old system. I understand there is a bolt on / app we can consider, but I'd be interested to know how anyone else is doing this please?

Thanks in advance,

Amy

    Hello Amy21!

I would say you can try the following:

    - Setup Document Layout for each Customer specifying the email where Customer Statement (Report 116) should be sent to.

    - Go to Report Selection - Sales, and check that you have a line for Customer Statment as follows:

    - Run the Customer Statement report with your filters, BUT taking into account the following:

    a) If you want the Customer Statement to be sent to ALL Customers, leave the Customer filter = blank (so it will include ALL Customers)

    b) Report Output = Email

    And then click OK.

    RESULT will be:

Each of your customers with Document Layout for Report 116 and including a valid email address will receive their Customer Statement.

If any of your Customers does not have email address or not have Document Layout, a PDF will be created instead (All Reports.zip) in your Downloads folder.

    I hope it helps.

    Hi Vanessa,

I came across this post as I'm trying to assist one of our customers. Most of our customers use our Emailing Extension, but this one particular customer is using standard emailing which I'm not too familiar with.

They are using Document Layout for Customers and sending Customer Statements. They contacted us saying that normally if they have a Document Layout setup against the customer for their Customer Statement Report and they leave the 'Send to Email' field blank, a PDF document is created. However, since February 2023, they follow the same process, but now instead of creating the PDF document for customers where the 'Send to Email' field is blank, the system is using the email against the Customer Card.

Have you come across this at all?

Thanks in advance for any assistance you are able to provide.

    Manish Patel.

    Hi,

In Customer Statements Reports there is option to choose report Output

When I Select Preview as my Option it should show me Preview of the report,

But the report is getting downloaded instead of Preview.

    What should be the problem??

    Hi Vanessa,

    This is correct.

Additionally you can add an email body to be sent with the statement.
