Chart of accounts - updating the main accounts once live

Hello,

We have a client that is already live with two legal entities on one instance of D365FO, and they share the chart of accounts (the way in which this was configured and kept is from when they used to be on AX 4). The number of digits used for the main accounts is 4, and now because we're looking to bring other 3 legal entities (phased approach), the client wants to continue to share the chart of accounts across the legal entities. The issue is that they need to add more accounts to it and they are running out of numbers they can use, hence the shared chart of accounts needs to have an increase in the number of digits.

I was looking to find a solution for this situation (other than to create a separate chart of accounts) and I noticed that I can update the main account number for existing main accounts (see below screenshot for message received):

Has anyone ever encountered such a situation? What is best practice when it comes to this?

I'm planning on testing this thoroughly to see if the transactions that are already posted and also new transactions are going to be affected in any way.

Any help is much appreciated! :)

Thank you in advance

    Hi Catalina,

You can rename the main accounts using the feature you found. It will update the linked transactions accordingly. Depending on the current number of accounts in this chart of accounts, it will be a cumbersome task.

    Hi,

Yes you can update and system will update the value in relevant transcations . Only consideration you should have to do this is business hours. So depending on number of accounts and transaction volume.

So suggestion is do it in one go now and in off business hours

If they've run out of 4 digit account numbers, that implies they have close to 9,999 accounts, correct?  That will be an extremely tedious and lengthy process updating 1x1 manually.  I'd work with a developer to see if they can write a script to automate this process.

Thank you all! Because we are on a tight schedule, client agreed to upload the new main accounts with the extra digits, and then in time, they will manually increase the digits for the rest of the existing accounts. It's not a very tidy process, but I guess it works for now!

Thank you all again for your help, it's been great to have so many answers on the issue! I really appreciate it!
