Need to copy an exact version of Fixed Assets Federal Book to a New Book

I am new to GP and then first request I've been asked to create a new book that is an exact copy of the Federal book in Fixed Assets.  I've been told that I need to 1) create the new book, 2) create the Book Classes, 3) load the assets.

I've got several comments and questions.  Most important - is there a way to copy the entire book?  If not, how do I download the list of assets (I've looked at some of the reports and cant seem to get the required data)?  Also, is there a way to systematically load the Book Classes? We have 142 book classes, and entering those manually will be very time consuming.

Thank you in advance for any guidance.

Ok, I think I have it. You are using the same company and want to set up a state book with all of the assets of the federal book. For the state book, are they going to depreciate everything using a different method against the same cost from the beginning of the asset’s Life? I’m thinking you don’t want any depreciation recorded in the state book. You couldn’t use the same book/class settings because that determines depreciation method and life. Do they want to start with book classes that mirror the federal book so that they can change it?

Ok, now I am really confused. What is happening to need this? Is there an acquisition? You can make an exact copy, but the GL account indexes need to match the original company. If it is the same company, what is the reason for the new company?

It is not a new company, it is the same company.  They will continue to use the federal book

You mentioned they also wanted to transfer the depreciation detail. The issue with that is the account indexes are likely different between the two companies. Inside the Fixed Assets module, the account indexes are used in place of the account numbers. Are they wanting to continue using the copy of the Federal book in the new company?

It is not a new company.  The ask is for a copy of the Federal book and create a new book (State).  The FA team will be applying a special depreciation to the Federal book and want a separate book without the special depreciation, therefore the request for a "copy" of the Federal book.

    Hi,

Is this a brand new company with zero data in it that you want to make your exact copy? Getting all of the depreciation history detail is the tricky part. Please tell what exactly you are trying to accomplish.

Thank you for responding so quickly.  THe need is for both set up and depreciation history.  We do have Integration Manager and eConnect.

I'm going to presume you have Integration Manager and the eConnect adapters are loaded. If you own Integration Manager and the eConnect adapters are not loaded - have a discussion with your Partner. The eConnect adapters let you import the following:

    Books

    Insurance Cos

    Lease Cos

    User Data

    Asset General Information

That's it. That is clearly not enough. When you say an exact copy, do they mean for the assets and depreciation history be included, or are they just looking at the setup information? There are a couple of ways to approach this. When I know what they are really wanting, I can be of more assistance.
