Any way to use email aliases for outbound email from shared mailbox in Business Central?

Posted on by 321
Here's the scenario -- client has 4 businesses with a shared services team that handles payroll/hr/etc for all the 4 companies. They have a shared mailbox setup in Office365 that has the primary email (hr@company.com) and 3 aliases (hr@othercompany.com, hr@business.com, hr@somethingelse.com). When they send from Outlook, they can select the outbound alias to use, so this is supported by Office365, however in Business Central, when they configure the shared mailbox for outbound sending, all emails appeaer to come only from the primary email address (hr@company.com).

We're trying to avoid a situation where we have to license and configure individual mailboxes for each of these, so we're hoping somebody has run into this and has a workaround or suggestion that might work.

It is important for the outbound messages to show the correct alias so the recipient knows which company the email is representing, so using inbound distribution lists is not really an option.

Any ideas/suggestions on this one?

Thanks!

Not sure what you mean by "Different environments" -- if you're referring to different companies in BC, that might be an option, but even then I can't find any way in BC to decide *which* alias to use when setting up the outbound emails with the Shared Mailbox configuration in BC. Can you elaborate a little on your suggestion, or perhaps give an example?

    Thanks

I think it would be much easier if you set up different aliases in different environments. Even with customization I find this difficult to do.

    Hope this helps.
    Thanks.

I don't think this is possible to have multiple shared emails in BC out of box.

    Hello,

Thanks for the reply -- but unfortunately I don't think it addresses the question. We've been able to get sending from a shared mailbox working, and I've also separately configued and used the email logging functionality, but that doesn't change the "from" address when emails are sent from BC. It always shows the default address of the shared mailbox, not the alias we've configured in Business Central.

In Business Central setup for Microsoft 365 Shared Mailboxes, there is "Account Name" and "Email Address" when you setup the shared mailbox, but even if we put the alias (hr@othercompany.com) in the email address, all sent messages show a from of the default address (hr@company.com)

If there's something specific in the post you sent that I need to look at, perhaps I missed something, but the document looks to be the vanilla setup, not something using aliases.

Thanks for any additional ideas you have.
