How do I make an e-mail Private

We have our system setup so all e-mails for all employees get auto tracked from outlook 365 to Dynamics 365 so we have e-mail history for all customers that anyone in the company can read. The owner of the company has said that from time to time he will need to send an e-mail as private (such as account information) so no one else can ready it other then the sending person and the receiving person. 

How do we do this ?

    Hi,

    You can achieve this through changing the level of tracking.

    1. Go to Personalization Settings – Email and Select the email messages to track in Microsoft Dynamics 365.

    • All email messages.
    • Email messages in response to Customer Engagement email. ---- replies to or forwards of tracked email messages
    • Email messages from Dynamics 365 apps Leads, Contacts, and Accounts. ---- they originate from someone with a Dynamics 365 for Customer Engagement lead, contact, or account record.
    • Email messages from Dynamics 365 for Customer Engagement records that are email enabled. ---- from all record types that contain an email address field
    • No email messages.

     

    1. The Folder Tracking is also recommended.
    • Go to Settings > Email Configuration > Email Configuration Settings and Tick the option “Use folder-level tracking for Exchange folders (server-side synchronization must be enabled)”

    • Go to Personalization Settings – Email and Configure Folder Tracking Rules.

    Add the folder which is under the inbox, e.g. test 1.

    The emails in the folder will be tracked no matter which level is select in the step above.

    • Put the e-mails which need to be tracked into the folder and leave the private e-mails out of it. Then the private ones will not be tracked.
