Which one to use, Email router

Posted on by 1,017

Hello Team,

We have a 2015 onpremise instance setup and right now we are not able to send the emails since we haven't configured the email router. Can you please suggest which would be easier for users and more advantageous like setting  up the email router or installing the Ms Crm for Outlook client as I am new to this email thing in CRM.

Out users are also new to CRM.

Please advise the Pros and Cons of using the email router or using the Ms crm for Outlook client.

You are getting great info from the other respondents.  The only thing that I would add is that you should consider "server side sync" over the Email router not only because it is a better experience (as suggested in some of the answers) but I have heard from Dynamics 365 program managers at Microsoft that they hope to eventually deprecate the email router, so it would be advantageous down the road to be already using server side sync if possible.

    Cheers

    Nick

    Hi James,

    +1 for Thomas's and Martijn's suggestions.

If you have automation, then Email Router or Server Side Sync MUST be configured for the user accounts sending the emails.  You can configure Outlook Client for other users if you prefer as you can configure this for each user/queue mailbox.

Between Email Router and Server Side Sync, Server Side Sync is the recommended option.

    A very short summary:

    - Email router if you want to send a receive through a generic email box like info@domain.com, support@domain.com or sales@domain.com

    - Outlook plugin for user who are sending and receiving personal mail and that want to track these in CRM.

Correct, for sending out notifications via workflow I would go for E-Mail router or server side sync.

    Thomas,

    Thanks for the quick response.

For example I have a workflow setup whenever a new account is created an automated email should be sent to the contact.

In this scenario  if I install only MS Crm for Outlook  client, will my work flow  to send an automated  email trigger in this case?

    Please suggest.

    Thanks

RE: Which one to use, Email router

    I would use both.

Advantage of Outlook client is, that your users can decide which e-mails (incoming and outgoing) to track in CRM and which not. And also your users most probably will be used to send their mails via Outlook and also the formating Options a.s.o are easier there.

For sending out of campaigns a.s.o, or in case you have group mailboxes where multiple users should work on, the email router is your friend. Because if you would define the Outlook client as main sending method for your users and you send out a campaign on behalf of your users, the mails wouldn't be sent out, in case your users are not online (e.g. if they are out of office for a week).

So I would set E-Mail router (or Server side sync) as main sending method and for incoming it depends, weither you want to import all mails or if you want to go for mail tracking of only certain mails via Outlook client.
