Add a GL Account Segment

Posted on by 20

What is needed to increase the number of GL account segments from 3 to 4 (now 4-2-2  change to 4-2-2-2)?

Also, the entire Chart of Accounts is to be reviewed so unused accounts can be marked inactive.  Is there a report that can show the creation date of each account and what year it was last used?

Re: Add a GL Account Segment

The answer to the first question depends upon the account framework. If the framework has more segments than three, then you can go to Tools >> Setup >> Company >> Account Format and make the change to the account format described in your question. If the account framework is limited to three segments, then you'll probably want to purchase a tool from Corporate Renaissance Group for changing the account framework.

Be aware that when you add a segment, the values in it will be blank.

You can use SmartList to get the creation date. Add "Created Date" to the Accounts SmartList.

For the last used information, you'll need to create a query against the transaction tables. You could start with the GL transaction tables (GL10001, GL20000, and GL30000). You'll need to combine them in a union query. Then you'll write the query against the union and look for the most recent date.
