How portal users are able to upload files to Sharepoint

Hi all,

Just a bit confused and hoping someone can point me in the right direction. We're using the Dynamics SharePoint integration in CRM to manage documents and this works well with portal also where external users can login and upload their files which then gets saved in the respective SharePoint location.

My question is how the security of this works. How are the portal users able to upload files into an organization sharepoint? Is there a proxy admin account in Sharepoint that does the actual file uploads? What about visibility of files etc. I understand web roles can control view access but how does it work on the SharePoint side of things. 

I mean portal users who've logged a case can see the documents that they've uploaded. How is the access managed and controlled on the SharePoint side of things. I know Dynamics 365 security roles don't roll down into SharePoint and you'll need to configure SharePoint security manually. That's fine for internal users but what about external?

    Steps for you

    Make sure you are using a modern document library.

    Right-click above the folder you want to share, and click Share

    From the pop-up that appears, choose Specific People, then click Apply. This is the same screen where the user can allow or not allow editing of the folder.

    Type the external user’s email and hit Send. You can also add a personal message if you wish.

    OK, your part is done! Go and pad yourself on the back!

    Steps for the recipient

    The external user gets an email that looks like the one below

    User clicks on the link included in the email

    The user needs to verify his/her identity by clicking Send Code

    Another email is sent to the recipient with the code. The user needs to use it within 15 minutes

    Once the user enters the code and clicks Verify.

    Users will be able to:

    Download files and subfolders

    Upload files and folders

    Modify files and subfolders

    Create and upload new subfolders

    Delete files and subfolders

    Move and copy files and subfolders

    Rename files and subfolders

    Share files and folders with others

    Change views (if additional views exist on a document library)

    Filter by custom metadata (if custom metadata has been created).

    Hi Mike,

    Service account is nothing but a user present in Azure Active Directory.

    In SharePoint, if Authorization and authentication happen using security group, then you can add that user and try.

    Thanks mate,

    Where do I find this service account in Active Directories? What would it be called? I'm assuming if we want to limit access to a site by say a security group we'd need to also ensure the service account needs to be added to the security group also so that portal users can upload their documents.

    Hi Mike,

    Yes, dedicated service account will be used while provisioning portal in dynamics CRM.

    If any record gets created from portal, owner will always be that portal service account.

    Visibility of record can be handled using webroles and entity permission inside portal.

    If it is online, all users are from office/Microsoft 365 belong to same tenant authenticated using AAD. While integrating CRM with SharePoint dedicated folders will get created for the configured entities.
