Reporting QTD instead of YTD

(0) ShareShare
ReportReport
Posted on by

We are more interested in reporting quarterly, so QTD is more important than YTD.  Is it possible to create column definitions that will properly include the QTD values for the appropriate quarter, depending on the Base period?

For example, these are the columns I'd like to show:

Per 2 ACT

Per 2 BUD

$ Diff

%Diff

QTD ACT

QTD BUD

$ Diff

%Diff

So for February (period 2), I want the QTD columns to include January and February only.  For June, I want the QTD columns to include April, May, and June only.

Since there are only Periodic and YTD options, I don't know how to make this work.

Any ideas would be appreciated!

Thanks.

Vance

    Hi

Assuming you are doing this in Management Reporter?  I haven't done it myself in this tool, but in FRx, you could achieve that result by having columns specifically defined for each period that were non-printing.  The Quarter to Date column would then be a calculation column summing the three non-printing columns.

    Does that help?

    Cheers

    Hi,

I agree with Heather. This is easily created using base period numbers and columns that should be added based on the quarter. The 'future' column months wouldn't print at all until the company was in to that period. There isn't any table that I know of that simply includes QTD numbers for anything. You pretty much just have to build the arithmetic into your report.

    Kind regards,

    Leslie

    Heather and Leslie,

Thanks so much for the suggestion.  I know about NP columns and so forth.  But if I'm reporting for Q2, how do I define the column so it only shows up for April, May, and June?  Then once we get to Q3, that set of columns shows up for those months and the Q2 columns then get all suppressed.

    Thanks again.

In MR or MR2012 On the column under Print control use the conditional formatting in MR you can have P<=B  (Print if less than or equal to Base) on your columns and then it will only print under those conditions.

Thanks for the reply, Sue.  I don't think this will work for what we need.

In Q1 months, I only want to show Q1 months and suppress Q2, Q3, and Q4.

In Q2 months, I only want to show Q2 months and suppress Q1, Q3, and Q4.

In Q3 months, I only want to show Q3 months and suppress Q1, Q2 and Q4.

In Q4 months, I only want to show Q4 months and suppress Q1, Q2, and Q3.

P<=B, alone, won't accommodate this, unless I'm not considering something.

    Thanks again.

    Hi Vance

    It should:

    Set up 16 columns

    Per 1, Per 2, Per 3, Qtr 1 etc

Under the period columns, use the print control Sue suggested.

The calculation column may not work with those print settings - you would have to give it a go.  But you could use suppress if zero to stop future ones and maybe make them non-print when you don't want them.

The other option (and I am not sure if it is available in MR) - in FRx you used to be able to use different row and column layouts based on the periods a report printed.  With that feature, you could have four different column layouts and set the dates that you wanted to use them.

    Cheers

    Hi Vance,

Glad I found this post. I am having exact requirement. Are you able to achieve it using MR? I am not able to understand how I can do it.

If you able to do it is it possible for you to share your MR Report?

    Thanks much

    Hello Sandip,

I achieved this by using the recommendations above.  It works well.  I haven't found a quicker way of doing it.

In MR set the column as follows:

    Book Code: Actual

    Fiscal year: BASE

Period -use formula  BASE-2 : BASE

    Periods covered : Period

This will give you a rolling Quarters.  Doesn't matter if you are a Calendar Quarter or a Fiscal year Quater

When running the report, choose the Base Period on the Report Tab.

So for Q1, set the Base period to March

Q2, set the Base Period to June

Q3, set the Base Period date to Sept

Q4, set the Base Period to Dec
