Encumbrance Management - Budget Control and Notifications

Hello all,

I have setup Encumbrance Management on my installation, and want it to effect budget control for Purchase Requisitions/Orders. I am facing some issues though. When I attempt to save a requisition for an  Account whose budget is insufficient, the system pops up a message of how much the budget will be exceeded by. Issues:

  • Am still able to save and/or submit the requisition despite the insufficient budget. Is there a way I can make this a 'hard' control, to ensure that if the budget is insufficient, the system at least does not allow submitting (or perhaps saving) of the requisition ?
  • Currency symbol: The Encumbrance alert/message above is displaying the correct Budget balance, but with the wrong currency symbol i.e. USD '$' - my budgets are in the functional currency (my local currency). 

Any help on this is appreciated.

    What about the password method? Isn't there a password field on the Encumbrance Management setup window?

    If it isn't a modal dialog then it must be a regular window. Seems like you could control that window (if you could find it - I haven't looked). How about managing the save/submit button? Part of Rockton Software's GP Toolbox www.rocktonsoftware.com/.../dynamics-gp-toolbox includes a module called Conditional Field Level Security. The security could be enforced if the PO exceeds budget. I think your functionality wish is a great idea  - perhaps even automatically putting the PO on Hold, but still allowing it to be entered. Similar to the way SOP works.

    Hi Leslie,

    Many thanks for your response. The system alert comes in the form of a 'non-modal' dialog. So once the user click ok, they can choose not to heed the warning.

    Hi,

    You could set a password to approve purchase amounts that exceed the budget. If this is a Modal Dialog, you could use VBA to automatically answer it or send up another message.
