Odd Sales Order Behavior / CRM Integration

I've posted this in the DYN365 EE Sales forum as well. 

Hi, 

I'm wondering if someone can help me out. I have integrated Dynamics 365 for financials and CRM. I'm having trouble finding the default behavior. 

  1. I create a SO in Dyanamics 365 Sales EE 
  2. All the actions that are visible are "Submit Order", "Cancel Order" 
  3. When I click submit order the order becomes locked / read only
  4. I see it in the CRM Sales orders in Dynamics 365 for financials. 

What I am wondering is: 

  1. What is the default functionality? Once I create the SO in Financials create the invoice etc does it sync data to the coupled sales order and change the status to "fulfilled" or "completed" When I integrated the systems did it change the order entity in CRM? 
  2. I am stuck at the integration and looking for a work around as the integration is designed for B2B businesses (Account is the customer) There is no way that I can see to do B2C where the contact or individual is the customer to couple records. I hear that functionality is coming. In the mean time what is the work around.

    Hi,

    Thanks for the questions. Let me include responds to each:

    1. a. What is the default functionality?

    Answer: Yes, what you have described is the expected functionality and processes to follow. The order is created in Sales and submitted (to Financials). At this point, it becomes read-only and further processing occurs in Financials.

    b. Once I create the SO in Financials, create the invoice etc., does it sync data to the coupled sales order and change the status to "fulfilled" or "completed"?

    Answer: Yes. You would use the Microsoft Dynamics CRM Sales Order page in Financials to complete the creation of the order in the Financials product. The status of the original order in Sales will show In Progress. Further processing is done in Financials. When the Order is posted (invoiced), the status of the originating order in Sales will be updated from In Progress to Invoiced. And, a new Invoice with a Complete status will be created in Sales.

    c. When I integrated the systems did it change the order entity in CRM?

    Answer: Correct, the order entity was modified during the setup of the connection between Financials and Sales (CRM). It was at this time that the Submit button was added to the order entity.

    2. I am stuck at the integration and looking for a work around as the integration is designed for B2B businesses (Account is the customer). There is no way that I can see to do B2C where the contact or individual is the customer to couple records. I hear that functionality is coming. In the mean time what is the work around.

    Answer: You are correct that the synchronization between Sales (CRM) and Financials does not currently support the synchronization of Contacts in Sales with Customers in Financials. In order to use the "default functionality" described above, it would be necessary to use the Accounts in Sales instead of Contacts--or at least have the Account Name on the Contact - Summary page in Sales populated for each Contact in Sales which will be used on a Sales Order.

    Considering all that my question would be what would the best way to operate until B2C is supported? My worry is if I couple the records now I'll be stuck with that model even when the B2C functionality is introduced. I know you might not be able to tell me now but coupling to a different record does not sound like something the ERP would allow. 

    What would your recommendation be?

    Hi Andrew,

    It is possible to couple a set of records. After that, you can remove the coupling (which leaves both records), and create a new coupling between the same record from Financials and a different record in Sales/CRM. So adjusting the coupling will be possible. You could try this on a small scale. One other thought...it may be helpful to pause the synchronization for the records that you are adjusting. The reason being that if it is set to create new records, it may attempt to do that for the temporarily uncoupled records. This can results in duplicate records being created.

    The options available to you until B2C is supported are these:

    1. Add data in the Accounts area within Sales/CRM so that you can use this built-in Connection Setup and synchronization between Financials and Sales/CRM.

    2. Look for a different tool for passing data which will support the Contacts in Sales/CRM. Unfortunately, I don't have experience with other specific tools in order to make a recommendation.

    3. Don't use a synchronization tool. This would require manual double-entry between the products.

    I'm also integrating Sales with Financials, I have everything synchronizing but struggling with products and prices. Have coupled all units of measure etc.

    I can create the product in sales and it synchs into financials but the price in financials is zero, why? if you set the price is financials it removes it from the price list in sales, why?

    I have also been wondering what a typical business process would be, this is how I see it.

    Start in sales at lead or opportunity > create quote in sales > create order in sales > process order through financials >invoice from financials and send invoice back into sales.

    But there is no set process I can find, also from financials you can view "crm opportunities" and "CRM quotes" and convert them, so it seems you can make up your own process.
