Delete Invoiced Sales Orders

Hi:

According to research, deleting invoiced Sales Orders involves those orders where the posting was performed at the invoice level after shipment.

I'm extremely confused on this point.

How can a Sales Order even exist once the item has been shipped and posted on a Sales Invoice?

Doesn't posting of the shipment and subsequent invoice occur by having the Sales Order open and on-screen when clicking its "Post" button?

Thanks!

John

Yes this situation may exist. Let me explain you :)

There are two ways to ship and invoice a Sales Order in Business Central. The first method is to post both the shipment and the invoice directly from the Sales Order screen. When done this way, the system automatically deletes the Sales Order once posting is complete, making it a quick and efficient process.

In the second method, you post the shipment from the Sales Order screen, but handle the invoicing separately through the Sales Invoice screen. From there, you can use the "Get Shipment Lines" function to retrieve the shipped items and then post the invoice. However, this approach does not delete the Sales Order after invoicing, which means the Sales Order remains in the system even though it's already been processed.

To remove these invoiced Sales Orders and maintain a clean system, you can use the standard feature called “Delete Invoiced Sales Orders.”

When you invoice directly from sales order, the order gets deleted when it is fully invoiced.

When you invoice indirectly using Sales Invoice, the order remains.

You can run the "Delete Invoiced Sales Orders" report to delete fully invoiced orders. You can also schedule it in Job Queue to run it automatically (ex: once a day).
