challenge of mapping account names

Dear All,

I am wondering what is the correct/right way to map the account name when we do bulk importing?

many people name the account differently, however, the account name in the system is unique. How can I make sure I map to the correct account instead of letting the system create other duplicate accounts just because the name of the account is slightly different?

    Hi Partner,

    Are you creating new records or updating existing records through bulk import?

    If what you are importing are all new records, then you can create the xlsx or csv file with the appropriate format and import it, on the other hand, if you need to update existing records in addition to creating new ones, you should start with an exported excel file from crm and add your new records to the bottom of of the record list. This way, what needs to be updated will be updated, what needs to be created will be created.

    And you can turn on duplicate detection rules for account entity, which can prevent creating duplicate records:

    Go to Advanced Settings > Data Management > Duplicate Detection Rules.

    Dear Leah,

    Thanks for responding to my Q. However, my question is not about how to do bulk contact importation, it is about mapping existing account names.

    For example: if I have an account named "BMW", and when I fill out other the excel for impoarting how can I make sure the format of my account name is BMW instead of "BMW AG" or "BMW Group" or "BMW China" etc.?

    Hi Partner,

    When you update accounts through importing, you need export it from CRM firstly.

    When you open the excel, the first 3 columns will be hidden:

    They contain checksums of each record from the CRM. DON’T make any changes in these three columns and DON’T delete them, otherwise, Import won’t work.

    So CRM can identify records based on the first 3 columns to update records, there is no need to map account names.

    Hi Dynamics try-to-be-advanced user,

    As I understand, you would like to check account name in the contact excel file before you import it to the system. You could export Account to excel, then copy it to a new sheet in the Contact excel file. In the Contact file, you create a new column to compare Account value between 2 sheet (Contact and Account).

    Yes! Thanks for your solution. Does it also mean I have to go through each false account one by one? and change it to the correct account name that is displayed in the system?

    After the checking is done, I can import the contacts into the system and the matching account should be mapped without issues?

    Yes, you should correct account name first. When the checking is done, you should copy your contact data to your contact excel template, then you import them to the system.
