Create rule so high level employees don't get called to meetings for pre-qualified leads

Hello,

I am looking to create a rule as such. .

  • IF entity = Lead then attendees cannot equal “Specific Person” or job title = “CEO”

I don't want my CEO to get scheduled for a meeting with a lead before its qualified. Users keep doing this. Can I create a business rule or something that does not let certain individuals get invited to meetings until the regarding is for an opportunity type?

Can I do this within Dynamics 365 or Outlook? I assume there needs to be some workflow that says when the meeting/ appointment is created IF the entity does not equal opportunity then "X User" cannot be assigned.

Thank you for any help or thought on this.

All the best,

Josh

Hi Thijs van der Klei, at the moment the personal assistant is doing exactly what you suggested and did make them a delegate user in Outlook so they can Read, Edit, and Author on the CEO behalf. Ultimatley, I want to create some workflow that does not allow the CEO to be an attendee in a meeting with a Lead entity at all. I want to only permit adding him/her as an attendee if the record is set an opportunity.

    Hi Josh,

    You could turn it around:

    IF lead gets qualified
THEN create task for the owner of the lead to organize a meeting with the CEO
    ELSE do nothing

This could be done by creating a workflow.

If your CEO has a personal assistant, you could also make this person delegate in the Outlook. Then this person can screen the meeting invitations.

    Kind regards,

    Thijs van der Klei
