Activities Entities Recording

Activities in CRM are used in the standard way currently such as recording a phone call / visit / email etc. Within the subject of an activity we record certain codes that relate to criteria in the engagement team. Currently the process to analyze these codes via extraction & excel concatenation is lengthily and because its a free text field we encounter issues with irregularities. 

Is there a way to record entities on the activity through some sort of check marker? or drop down list as opposed to relying on the subject?

Suggestions are welcome.

    We cannot use multiselect field in business rule.

    Hi Pradeep,

    Yes I have used multiselect field for the options.

    When I select entity and then field list it doesn't show, just shows the default D365 activity fields.

    Thank you both for the suggestion. 

    I have created a set option list and then on each activity created a field which then pulls in these values for selection. 

    The only other issue is business rules, when I attempt to create one on the custom entity it does not show in the filter, so I am unable to set rules based on selection criteria, any ideas on this?

    Is it because the entity is unmanaged?

    Hello dcarpenter,

    Like Pradeep said, You can create an optionset/dropdown field to manage your options for codes. Also, you can keep the subject field as a readonly field and copy over the dropdown text to it with the help of Business rule or js so that you don't have irregularities in outlook sync.

    Hi,

    If the codes which you are using contains some list of values then I would suggest you to create a Global Option Set Field then on each Activity Type entity link this Global Option Set values with option set field.
