Dataverse Storage Analysis and Audit Retention

Hi Community,

We're looking at ways to optimize Dataverse storage and had a couple of questions:

1. Is there a way to extract a list of Dataverse tables along with their storage consumption (database, file, and log capacity) so we can identify the largest storage consumers?

2. For Dataverse auditing:

Where can we view the current audit retention period?

How can it be modified, if supported?

Are there any recommended approaches for managing or purging audit history to reduce storage usage?

Any Microsoft documentation, best practices, reports, admin center options, or community recommendations would be greatly appreciated.

HI,

Subra shared the correct documentation. As a summary, you can go to PPAC > Licensing > Dataverse. On the summary page, there is a list with top-5 largest environments.
You can click on an environment link, or first go to the Environments tab page and select one. After the selection, scroll down a bit and you will see the consumption per table.

1. Extracting Table-Level Storage Consumption
Power Platform Admin Center (Easiest)
Go to PPAC → Environments → Your Environment → Resources → Dataverse
The Storage capacity tab shows database, file, and log breakdown
However, this is environment-level, not table-level
For Table-Level Breakdown:
Use PPAC → Capacity → Download reports, this gives a CSV with per-table storage data
Alternatively, use the Dataverse Analytics report under PPAC → Analytics → Dataverse
XrmToolbox, Storage Usage Explorer The most detailed option, shows per-table row counts and estimated storage, filterable and exportable to Excel.
2. Audit Retention
View Current Retention Period
Copilot/Power Platform Admin Center → Settings → Audit and logs → Audit retention policy
Or in D365: Settings → Administration → System Settings → Auditing tab
Modify Retention Period
Supported via PPAC → Audit retention policy
Options: 30 days, 90 days, 1 year, or custom (up to environment tier limits)
Reducing this is one of the fastest ways to reclaim log storage
Purging Audit History
Settings → Auditing → Audit Summary View → Delete Logs (manual, by date range)
Via Bulk Delete Jobs: schedule recurring deletion of audit records older than X days
XrmToolbox Audit Manager plugin, most efficient for bulk audit cleanup

For a D365 CE / Power Platform implementation, Dataverse storage analysis and audit retention should be treated as an architecture and governance activity, not just a capacity-monitoring task.
Microsoft's current capacity model separates Dataverse consumption into Database, File, and Log storage. Audit data is part of Log storage, while most transactional tables consume Database storage and attachments/files consume File storage.

Yes, you can now get table-level visibility directly from the Power Platform admin center. The most useful route is Licensing → Dataverse → Environment → Consumption per table, where you can switch between database, file, and log consumption and inspect growth trends.
For auditing, check the audit retention policy first, because AuditBase consumes log capacity. Don't directly delete audit records; use Microsoft's supported audit deletion mechanisms or retention policies, and make sure the retention decision is aligned with your organization's compliance requirements.
