Needing Super-Low-Level Definitions for BP Requisition Related-Roles (and *exactly* what functions they enable)

Posted on by Microsoft Employee

I am hoping someone can give me a really specific definition for each of the following roles and which aspects of BP Functionality they unlock. I need the lowest possible level of detail for each of the following: Requisition Administrator, Requisition Approver, Requisition Creator, Requisition Purchaser, Requisition Reviewer. I am looking for something that goes way beyond the one-liner you see under Site Actions > Site Settings > People and Groups. Maybe there's a great write-up out there with super-specific low-level details about which aspects of functionality are enabled when a user has one or more of these? And yes, I know what each does (generally). But I am looking for someone that has mapped out all the subtleties for each role. And a "trouble-shooting" guide for mapping unexpected behavior in BP to these roles (the presence or absence of one or more of them) would be nice too. Hoping this request isn't too broad!

    Keep in mind that SharePoint only restricts access to pages, so People and Groups will not show you the security access to data.  Site Actions > Site Settings > Roles (under Business Portal Administration) will show you a more granular view of data permissions.

    If you want to see a more granular view of what a particular SharePoint group has access to, try the following.  Navigate to a specific group, then Settings > View Group Permissions.  This will show you the specific sites, document libraries, etc. that a particular group has access to.

    I don't know of anything that would be documented that deep. Typically what is provided is more than good enough of an explanation.

    As for as users having different roles if security gives access to something from a role the user will have access. We don't take away security with roles but rather we grant them so when a user logs into BP with no roles they can access the BP homepage but nothing else.

    Also if you are seeing roles that are not listed in the documentation then chances are someone created those custom roles. No one is going to really know what those are doing besides the person who created them or someone who has access to the system that can review them.

    OK - thanks - already had that. I guess I was looking for how a user having the different combinations of roles would impact the user experience. And the role of "Requisition Reviewer" appears to be critical to unlocking some of the functionality but I haven't been able to find out why (nor is it in "People and Groups" nor is it in the documentation above). This is a role that shows under BP > Users > Roles under the "name" column in "Roles Assigned to:" --- thanks for your help, though!

    I believe you need to review the requisition administrator's guide, it has essential details. Find below few screen shots to provide illustration on these roles;

    Please review the file, and we might be interested in further details if required.
