Access Teams

Hi,

Consider the following:-  In my CRM i have some users who are "Managers" and some who are "Normal Employees", Lets take "Alan" is a manager and "Joe", "Smith" and "John" are normal employees under "Alan".

I need to provide "Alan" a security role such that he has access to "joe" , "smith" and "john" records.

    Hello,

    Access Teams might be a bit overkill for this, as they are more suited for ad-hoc access to specific records, rather than continuous access to records that belong to a specific set of people.

     

    Considering your Manager-Employee construct, I would suggest using Hierarchy based security

    Hi Rahul,

    In your scenario I would suggest go for manager hierarchy instead of access team.

    You can't manage this functionality using access team , access team works for single records not for managed the hierarchy  security model.

    Here is the reference to implement  manager hierarchy. Hope this helps.

    Hm.. I would try the hierarchy, too, but it will only work if you have 1 "manager" for every group. If there are multiple managers, you may have to do the sharing.

    If you wanted to start sharing those records(and having too much sharing may lead to performance issues), then it might be something like this:

    - Create a manual access team for every group of users which have the same managers

    - Add managers to those teams

    - Whenever a record is assigned to a user, also share that record with the corresponding access team (if you wanted to automate this process, you might have to write some code). You may also need to un-share when a record is re-assigned to another user.

    Hi Rahul,

    You can set Alan as a manager of Joe, Smith and John in the security role

    Go to setting--->security role--->User---> Open Joe User---> from the ribbon menu(three dot) you will find change manager option, there you can set Alan as manager.
