Forecaster changes when Chart of Accounts is changed

Hi, We are in the process of changing our chart of accounts. I would like to know if there is a tool or script or list of steps that can help us update forecaster with this change.

    Hi Greg,

    We recently changed our Chart of Accounts format from X-XXX-XXXX (1-3-4)  to XXXX-XXX-XXXXX (3-3-5).

    Our Forecaster is using segment2(center) and segment3 (main account) only.

    The Forecaster definition window has the following:

    Center = 24 length

    Account =  24 Legth

    Period = 24 Length

    Does data export you mentioned applicable in our case?

    Thanks Greg. This is very useful.

    So we can use the old to new mapping that was done for the chart conversion to update our export file.

    Any risks and or Concerns in the import export process?

    Hi Deepesh,

    If you are changing the COA in GP, it will not have an effect on Forecaster.  Forecaster doesn't read from GP, so it would not see the changes.  However, if you wanted to change the accounts in Forecaster so they match the accounts in GP, then you'll have some work to do.  

    For example, let's say that Forecaster was set up with 3 segments.  A fourth segment is added to GP and you want to make that change to Forecaster too.  Adding this new segment is not an easy task.  Forecaster doesn't have a way to map the old account structure to the new.  So anything entered under 11-222-3333 would not transfer to 11-22-333-4444.  Forecaster treats these as two different accounts and there is not a way to merge the data.  

    To transfer all the data that is stored in the 3 segment accounts to the 4 segment accounts, you'd need to do this:

    Create a new company in Forecaster with the 4 segment account structure.

    Export all the data in the original company.

    Once the data is exported, edit the export files to include the new segment.

    Set up all the input sets and reports and then import the data into the new company.
