Hi all , it's seems a simple enough question but I cant seem to get a simple answer.

I have 20 people in my organisation, eight (8) are office bound while the rest are out of the office. 

Only the 8 office bound staff will access CRM Online 

The field staff will NOT access CRM Online 

HOWEVER the field staff will be assigned to activities within CRM and these activities will appear in their corresponding Office 365 Calendar.

How many CRM licenses do I need ?

    When you say "HOWEVER the field staff will be assigned to activities within CRM and these activities will appear in their corresponding Office 365 Calendar.", does it means these users are added to CRM or some how CRM updates the 360 calendar with tasks for this remaining 16 to do outside CRM?

    if you search your CRM "users" entity and it return 20 enables users then you need 20 licenses

    Hi Paul,

    The same situation happened to me. So i suggest u the below. hope this helps u.

    1. 1 Licenses - If the 8 Office bound users won't own records then you can gv a common login i.e., one login for 8 of them. This requires only 1 license.

    2. 12 – Licenses  for the field staff as they are owning record’s.

    3. 1- License for the Account’s Dept. for billing purpose

    4. 1- Administrator – who will be granting permissions for all the user’s.

    I Think a total of 15 Licenses will enough for ur Organisation.

    & if this ok then Based on the type of role u can give access permissions to the users.

    As Guido said there will different kind of online licenses available to know more  about it plz go through the link provided by guido.

    To restate my understanding of your requirements:

    8 Office staff use CRM

    12 Field staff only receive appointments.

    If appointments are allocated to / tracked against specific staff then you have to buy a license for each of your field staff.  The licensing guidelines are strict about that.  This is the case whether you add their details in as staff/users, 'dummy facilities' or via some custom entity.  (Suggest you just add them in as Users it's far the simplest way.)

    You will likely need 'Professional licences' for each of your office staff i.e. 8 Professional Licenses.  (The only exception to this if you have any enterprise licensing requirements.  Note:  You will be able to upgrade any of your professional licenses at a later date if you do want to take advantage of e.g. MDM capabilities in the future but don't want to just yet. )

    However you will only need 'Basic licences' for the other 12 (if the appointments are client-related in any way which I'm sure they will be).

    i.e. Your total purchase needs to be: 8 Professional and 12 Basic Licenses.

    Note:

    1. If you were on-premise you could have a single device-level licence shared by all your field staff, but that option isn't available with online licensing.  Having said that, for an organisation of your size the benefits of cloud are unassailable.

    2.  There are not-for-profit and other discounts available in some sectors.

    3.  If you are wanting to use Bingmap integration you will need licences for that also (free for not-for-profit sector up to a pretty generous capped level)
