Using the contacts entity for two types

Posted on by Microsoft Employee

Hi,

I am looking to use the Contacts form for two categories of users- Complainant and a Suspect. Currently, I have two different forms for each of them consisting of the fields relevant to a suspect and a complainant. However, my concern is Complainant and Suspect being a look-up field end-up having the suspect's name in the Complainant look-up field too (in my Case form). So it's contradicting the requirement that a suspect can be a complainant in future which doesn't make sense. I am wondering if it is possible to use the Contact entity for both these categories yet them being independent of each other.

You first need to have a type field in Contacts:

    Contact Type: 1. Suspect

                          2. Complainant

Now create two views for contacts, having filter as  contact type

Now go back to case form and set lookup specific to one view in each form

I understand that you need to filter lookup(Complainant /suspect) bases on user type. PLease see if the below  post helps

easiest way is to have seperate case forms for each lookup view

    Hi

I would create a field called Contact Type Complaint/Suspect as your Option Set list

Then create 2 views (1 to show only Complaint and 1 to only show suspect)

Then when you add that field to a form change the lookup view on the field properties and it will only bring up the ones you need to see

    Hi Mokshika,

You can use Contact for both types.

I will suggest use a field (column) to distinguish both types, for example UserType it can have two values. For look ups you can filter records with this field.

Another approach is to use two fields like IsComplainant and IsSuspect and same way in views filter data using these values, you will get only relevant records.
