Lead Distribution and Notification

Hi there guys!

In Dynamics 365 Marketing, how does one notify a user or team when a new lead is created from a web form or landing page? It seems very strange that one would have to use a workflow? 

How would you notify these users or teams which form was completed?

    By default, there is no automatic notification to user or team if a new lead is created from marketing page or marketing form.

    Could you let me know why do you think a workflow would be strange?

    When a new lead is created from marketing page or marketing form, its "Source marketing page" field and "Source marketing form" will be automatically populated by system.(They can be only filled by system.)

    So if we would like to send an email to user as notification via workflow, we could check whether those two fields contain data when a new lead is created, then do further steps.

    Thank you for the question.

    It is possible via a workflow (as described by Clofly).

    As for the solution without a workflow -> you could add an Activity of a Task type, but that would just result in a new Task being created for each new contact (instead of an email being sent). Therefore, using a workflow is a recommended solution here.

    Hey Wynand, I’ve had the same question in the past! We also use Dynamics 365 Marketing, and initially found it a bit clunky having to rely on workflows just to notify users when a lead came in from a form.

    We ended up integrating a lead distribution tool called LeadAngel, and it’s made a huge difference. It not only helps us create customized web forms, but also lets us notify users or teams through different channels (email, Slack, etc.) depending on the lead source or form completed. It’s way more flexible than the out-of-the-box setup.

    Might be worth checking out if you’re looking to streamline lead notifications and routing!

    Hi,

    You're not alone; this is a common question in Dynamics 365 Marketing.
    Native Options:
    1. Real-Time Marketing: You can use a journey triggered by form submission to send internal email alerts to users/teams.
    2. Classic Workflow: Still works, but limited and not ideal for complex routing.
    3. Power Automate (Recommended): Trigger a flow on lead creation → filter by source/form → send a Teams message, assign the lead, or notify via email.
    Identifying the Form:
    • For Outbound forms: Use SourceCampaign or custom fields.
    • For Real-Time forms: Check the interaction record tied to the form.
    Alternative:
    If you want more flexible alerts (like in-app notifications, timed alerts, or role-based messages), you might consider something like Alerts4Dynamics by Inogic. It works well with Power Automate to notify the right people, in the right place, at the right time.
