Deleting Smartlists

(0) ShareShare
ReportReport
Posted on by

I have attempted to delete a Smartlist from Smartlist Builder and it appears to delete just fine from within Builder.  The report name is gone from the lookup in Builder, however, it did not delete from Smartlist.  Can someone tell me how to really delete it so that it is gone from both Builder and Smartlist?

If you run it in Smartlist does it produce data? If so its eithre a standard smartlist that cannot be deleted or its a built one that's not actually deleted from smartlist builder.

     Hi Ian,

It does not produce data when I run it.  It is a smartlist that I created in builder.  I was going back & forth between smartlist and builder, reviewing the data as I was tweaking it in builder.  At one point, the smartlist moved from the "Payroll" tag to the "Additional Smartlists" tag.  When that happened, I ran it and when it produced no data, I deleted it from builder. I thought it was truly deleted so I re-created it in builder using a slightly different smartlistid.  I experimented with deleting that one also and now I have two smartlists; neither of which appear in builder, neither of which produce data and both of which are listed under the "Additional Smartlists" tag.

I wish I had a solution, but I don't really.  This has happened to me twice and this Smartlist simply sits there in the Additional Smartlists folder (which never existed before this) and returns no data.

I have tried to investigate the SQL tables to try to remove it and have had no luck.

The only time I have seen this fixed was me trying to show the same problem to a co-worker at the second company and told him that it is just stuck there and I didn't know how to remove it.  But to my surprise, he fiddled with it by somehow exporting it, and then re-importing it a couple of times, and magically it was gone.

So that's all I can add to the discussion.  I hope someone posts the fix.

    This is interesting!

What versions of GP? SQL? etc. Service Packs? OS?

I'd like to try and recreate this.

Have you tried running the Refresh Cache and Refresh SmartLists options under SmartList Builder->Maintenance?

After that, if the SmartLists cannot be deleted, export each of your smartlists one by one to separate files,  delete all the Smartlists you created, run the utilities again, then import the ones you want to keep.

Both of my examples are from GP 10 SP 2 (SQL Server 2005, Server 2003).  I have tried to refresh the cache and that didn't seem to work. I may follow Richards advice on exporting all of the reports and then re-importing them.  The users will be upset that their favorites are gone though.

As a side note, I confirmed this with Microsoft, and when you are exporting Smartlist Builder reports, make sure you only do a few at a time into one xml file.  I was working on quite a few at once and while trying to export 15 or 16 into one single file, I was getting sql errors.  It has something to do with the combined number of characters in the Smartlist ID and not being able to handle too many.

Anyway, they suggest doing 4 or 5 at a time.

     Hi Ian,

It is interesting!  What is even weirder is that I have created yet another smartlist in builder with a slightly different name. When I went to smartlist to run it, the Additional Smartlists folder was gone and the 3 smartlists with similar names were in the Payroll folder!

So . . .  I thought maybe smartlist builder is "smarter" than I think and when I created the same joins, used the same tables and created the same calculated fields in the payroll folder it was smart enough to figure out that the other, non-existent smartlists belonged to the payroll folder too.  I tested it by building another smartlist with a totally different name using all the same criteria and this time all the bad smartlists stayed in the Additional Smartlists folder and the new smartlist is in the payroll folder where it should be.  Wouldn't that make you believe that the similarity in names is triggering something?

Now, I have all these bad smartlists that I want to get rid of and I want to recreate the good smartlist with a better name.

    Crazy!  It, not me.

    GP 10.0; SQL 2005.

    Any help is appreciated.

     Hi Ian,

Sorry I forgot to add service packs & OS:

gp10.00.140; Microsoft 2003; GP is on a terminal server.

    Thanks,

    Julie

    Hi Richard,

I had tried the Refresh Cache and Refresh Smartlists to no avail.  I will try your export/import suggestion.

    Thanks,

    Julie

     Hi K,

Good info ~ thanks for sharing it.  Any idea why it would be happening?

    Thanks,

    Julie
