How to handle Inactive Users in SL

What is the recommended process for setting an active user to inactive within SL.  I notice there is not an option to set a user to inactive.  I know we can delete the User from SL, but is that the recommended procedure other companies are using?  We do not use Window Authentication in SL and we are on version SL 2011 SP1.

    You do not want to delete a inactive user.  There is a history of every user and their individual data entry records.    I recommend taking away all rights and changing their password  in screen system administrator > user maintenance.   This should be done as employees leave the company.   You can add a custom field in the user maintenance screen to track active and inactive users.

    My recommendation, which was validated by SOX Compliance auditors some years ago:  Create role based groups for access to SL functionality, and assign these groups to individual user in SL - no individual screen or report access granted.  When inactivating, remove group from the user.  Also, just so you know, when using windows authentication, when you inactive a windows user account, you automatically inactive their access to SL

    Great suggestions.  Here's one more: Since you're not using Windows Authentication, have the SYSADMIN log-in and update the passwords on the "inactive" users. This will keep the User record intact, but prevent those users from logging-in.

    Melanie - You are correct - you can delete the user from SL. However, I would recommend you not do this, especially if audit trails are important to you. We found that when we deleted users, their user name was now replaced with a random letter/number code in any transaction history. Instead of deleting the users, I simply take them out of all groups and take any individual rights away from the user. Then, for audit purposes, I also put the 'term date' in the description of the user.
