We are a software company and need to have a possibility in describing the permanent licence price as well as the additional yearly ME&S (Maintenance, Enhancement & Support) price in our quotes, orders and invoices. As far as I can see we can run through multiple different paths starting from using separate quotes, orders and invoices with separate Price Lists to including both on the same entities and having products in same pricelist for both the licence price portion and the ME&S portion. The quantities need to be same for both the licence amounts and the related ME&S amount.
We'd like to stay as close to "standard" to how Dynamics is built as possible.
The possibility to use separate entities is awkward as it causes a possibility to do mistakes due to replicated data on the entities themselves as well as quantities and detail lines although this is quite close to standard Dynamics behavior. We'd just need to duplicate the entities, but keeping both quotes and orders in sync could be disastrous.
Best way we have found is using Product Bundles. We can define a product bundle with the Licence amount option as the main product and then add the ME&S product as a Bundle Product with required field set to optional. Then we would just need to define custom price calculation according to the examples given by MS and add a Total ME&S attribute in the quotes, orders and invoices to keep things nicely separated.
The challenge with the approach is the migration. We have a lot of legacy products in our system which we cannot dismiss due to historical reasons. Instead we'd like to convert these to bundle products and add the ME&S product as bundle product.
Is it possible to convert existing products to Bundle products? If yes how and what complications this would cause?
Or do you see any other ways to solve this issue neatly? I'm also looking at connecting the Licence and ME&S products with a custom lookup and then creating a custom action on the quotes, orders and invoices to populate the ME&S detail lines after the Licence products have been added.
