Establishing a relationship via Lookup field Data type in a data import?

Hi all,

I have a question I would like some help solving in regards to lookup fields and data imports.

I have a list of "Jobs" which I have created an entity for from our legacy system, that I would like to upload into our Dynamics 365 system. Each Account has a 1:N relationship already established with the Job Entity. Each Account record also has a field for Account Number. I have created a lookup field in the Job custom entity called "Associated Account Number" that I thought would be the way to relate the two records more easily, since there is more margin for error if I just did "Associated Account Name" because some account names were entered differently within the legacy system by users.

My question is - if I download an Excel template of Jobs, and use the lookup field of Associated Account Number with the correct numbers, will everything be automatically linked from Jobs to Account? Is there anything special that needs to be done before doing this upload? I have seen conflicting information online, and wanted some direct clarification on my specific situation. Thanks in advance for any answers.

    Hi Dominic,

If I understand correctly, "Associated Account Number" is not an entity's lookup field, but just the value of the "Account Number" field of the Job's related Account, right?

When the "Account Number" value of each account is unique, then you can import the Job records with Account Number successfully.

Please refer to this blog: https://www.inkeysolutions.com/blogs/excel-online-and-import-data-tool-in-microsoft-dynamics-365/

If you have a unique custom field on Account entity named “ID Number” then, you can just add this column to your import sheet and map this field to the “Parent Account (Lookup)” by selecting the field “ID Number” in the “Lookup reference for field ID Number” pop-up window as shown in below image:-

Hi Lu, thanks for the response.

Please see the screenshot below. I don't believe I have set it up properly to make the import in the example you included. In your example, Account Name is mapped to Account Name, but I am not being given that option for some reason.

Take a look here to see what I mean:
