how to set multiple gl accounts inactive

Posted on by Microsoft Employee

Hi,

I have a task of finding all acouts that beging with 5 and 6, and set them inactive.  But first i need to make sure there is no activity for those accounts for this year ( i assume account balance should be 0) . I have over 100K of accounts that begin with 5 and 6, please help.

Thank you.

    Hi Lenny,

Susan gives you good advice using 'Mass Modify'! The number of accounts you have, however, would make needing to reply to the activity message a real pain.

At this point I would be tempted to search for transaction history in the GL Work, Open and History tables (GL10000,  GL30000 and GL20000 tables), and then use SQL to mark the accounts that have never been used as inactive.

As an aside, if you have accounts marked inactive that have never been used, GP2010 deletes them at year-end close. This is a bug, but it had not been fixed the last time I checked.

    Kind regards,

    Leslie

Go to Cards>>Financial>>Mass Modify>>  Then you can choose on the drop down INACTIVATE.  Then go in and choose the Account Mask from 5??? (? for all your segments) to 6????.  I ususally then choose selected range to make sure that it is choosing what I want inactivated.

BTW, if a bunch of these accounts have never been used and never will be used, you may want to just delete them first.  If it finds an account that has activity, it will give you and error message and you will have to say okay, but this would cut down your chart of accounts.

Do it in two steps, get rid of as many as you can and then inactivate what is left.

    Good luck on your project.

    Sue
