VAT Return

Hi,

I am running the VAT Return routine on GP 2016 and I am inputting the date range from 1st January to 31st January but i am getting transaction with the date of October 2016. Can someone please help me out on what can be the cause of this.

    Hi, the most probable cause is that this is a late transaction.

    When you print the vat daybook reports, is there an 'L' alongside this October transaction? If so, then it is a late transaction.

    What has happened is:

    You posted the October transaction after the October (and Nov and Dec, in this case) Vat audits were run. When you ran January, GP found this October transaction had not been included on previous returns, and so correctly included it on January's return...and marked it as late - signifying that it was a transaction dated prior to the current vat period that was never included on a VAT return.

    Hi,

    Thanks for your reply. I had processed the VAT Return again and there are more than 1 transaction which falls under October. Also in my report there are no L near the transaction.

    If I run the report for example for September 2016 all transaction listed fall under that month in question which is good.

    Next thing to check is the date that is being used to select the transactions. Go to your VAT calendar, call up 2016 (and then 2017) and check what date is being selected: Transaction date, GL Posting date or tax date. If its Posting date, it could be that the transactions have GL posting dates in Jan 2017 and transaction dates in October 2016.

    Have you actually run the audit Trails for all 2016 periods? I'm guessing you have since you can't actually run future audit trails (i.e. you shouldn't be a to run Jan 2017, until all previous periods are run).

    From the VAT Calendar I can confirm that they are being listed by the transaction date.

    Apart from that can you please guide me on how to run the Audit Trails please?

    Hi,

    to run the audit trail (which actually marks a transaction as having been included on a return), you use the same window you use to run the vat daybook reports.

    However, you select the 'Audit' option. When you do this, you can no longer select to run by date range, you need to select a year and period (these are based on your Vat calendar set up).

    In your case, if the first year available is not 2017...say its 2016...then you have not run audits for previous periods, and these must be run first before you can get up to January 2017. GP will force you to start at the earliest unaudited period.

    Once you run the audit for a period, all transactions included will be marked as having been included on a vat return and will never be considered again. Additionally, the Vat daybook reports will print again, except this time they are reporting what's actually been 'audited'.

    I'm still a bit concerned why an October transaction is being included in the daybook reports for the month of January - its not marked with an 'L' (I believe the L is shown on the extreme left hand side of the transaction), and the doc date is being used to select transactions. This doesn't make sense to me right now.

    Yes - on the face of it, these transactions should be 'Late' transactions.

    I would back up the database, and run the audit trails and see what the output is.

    Hi,

    Thanks for your reply. I have checked some of the transaction and checked the dates of transaction, receipts, when it was posted and everything and everything is done in January.

    One other thing how can I  run the audit trails please?
