Beginner about Marketing, Fields, API, Invoices

Posted on by

Hi all, I have a couple of questions I would really appreciate a reply on, thanks!

1. What is the maximum number of custom fields one can have for contact?

I plan on using the Cloud version of Dynamics CRM.

In this post it was written for 2015 version 1023 or is it something else?

community.dynamics.com/.../296572

2. Is there a maximum of emails that one can send to contacts? Per month?

3. I believe the best way to send out one-time emails to contacts is via Quick Campaign, the way I do it now in my current CRM is to search for contacts via Tags but in Dynamics it seems to be called for Marketing List. For example sometimes I might to send out emails to emails to everyone or only clients.

4. Is it possible to send emails that merge data from fields, so say that I send 100 emails but I want for each person to merge (fetch) the exact data from a specific field into the email so each email is personal, I hope this is possible. Also in automated marketing lists.

5. Is it possible to have automated email, say marketing or educational emails? I believe this is discontinued and will not be offered to me when I soon register for trial period of 30 days for the enterprise edition as stated here, or is this refering to something else?

blogs.msdn.microsoft.com/.../microsoft-dynamics-marketing-service-will-be-discontinued-and-learn-whats-coming-next

Might have to go with Sendgrid for automated email marketing.

6. Based on a ”tag” the contact has (I use Infusionsoft CRM that uses tags to differentiate contacts) is it possible in the marketing/automated email marketing that some emails are sent to contacts while some are not based on individual settings etc

7. How do you segment contacts, is it via some lists or so? Guess it would be marketing lists? I hope same persons can be part of more than 1 list? For example

Customers

Non-Customers

Previous customers

Everyone

8. Its possible to send HTTP Calls to and from Dynamics CRM? A webhook?

9. Does Dynamics CRM have built in Web Forms? I asked another person and I got this reply: "There are no web forms out of the box in Dynamics 365, however with an Enterprise subscription, you are entitled to Portals. With Portals you can create web forms that will be linked/displayed in your portals web site (hosted on Azure).”

Now, my follow-up question to this is, say I want to capture Name and Email, is there a simple way to do that via API so that we can put a form on our website and then just send the data that way? Maybe this? msdn.microsoft.com/.../mt593051.aspx

10. Whats the difference between Enterprise and Business Edition of Dynamics 365?

11. Do I really need Finance and Operations? I know question sounds dumb, how are you suppose to know but basically I have a small business. Nothing physical, software business. But I do see a potential need but rather focus on the Customer Engagement Plan that does not include it but the other stuff that are interesting to me.

12. When it comes to invoices, I guess this is done with the Sales Module. I dont need Finance and Operations in order to create Recurring invoices?

13. In terms of invoices, how does the tax work? It seems per product?

14. For invoice, I noticed one can use different currencies

Thanks!

Wayne, thank you for that extensive reply, much appreciated!!

    1. I will not exceed that number of custom fields, in Infusionsoft I use about 100 and I could even delete some of the ones.

    2. I am using office 365 with exchange server so I assume that wont be a problem since we have setup the DNS for exchange in our azure server?

    3, 4, 5, 6, 7, 8, 10, 11: Gotcha!

    9. I guess we could also use API, setup First Name and Email form on website and when visitor enters a contact will be created?

    12. I dont need integration with the bank because I am fairly sure my swedish bank does not support it anyway. I need more like a place to store the invoices. Since I sell software subscription and some clients want to pay by invoice, some want to pay 1 year at a time some want it to be subscription. So I need regular invoice plus recurring invoice, and I want it to send reminder to the client ahead of time but I also want it to remind me.

A: Place to store the invoices, linked to the customer record.

B: Ability to remind me and client for recurring invoices ahead of time.

    13. Since I sometimes need to be able to have 0% tax for european clients with valid VAT Id I like the fact that I can set the tax as I want, I saw a video of that. And for domestic clients I can just add tax.

    14. When it comes to domestic clients in Sweden I will simply set a price for that moment. Otherwise I have an e-commerce shop that handles the exchange rates when in dollars. But I will need to think through this of course.

I am looking to either stuff with Infusionsoft which is a marketing and CRM platform OR going over to Dynamics CRM and handle the marketing campaigns via Sendgrid but then I would need to sync the contacts from Dynamics to Sendgrid - guess I got some thinking to do.

RE: Beginner about Marketing, Fields, API, Invoices

I want to preface this by saying something very important.  Dynamics IS NOT A MARKETING SYSTEM.  There are good marketing systems that connect to it, but D365/CRM isn't a marketing tool by itself.  It's a Relationship Sales tool.

    Here are some answers:

    1. Yes, that's still the maximum number of fields.  Also, if you think you're going to get even close to hitting that number of fields, I would strongly recommend you look at reviewing your design and rearchitecting.  There is no way that will be a good user experience.

    2. There is no maximum emails, because Dynamics 365/CRM doesn't send email itself.  It connects to your Exchange server to send mail. That said, that also means it's not a marketing tool.  For that, you want a 3rd party add-on like ClickDimensions or Adobe Marketing.

    3. Correct, you would do that through a Marketing List and Quick Campaign.

    4. Yes, dynamic data and merges is available "out of the box". When you get to composing your email, there will be a tool on the right that will let you pull dynamics data from your system so you can do stuff like "Hello {firstName}".

    5. you can do some basic workflows for emails, but nothing like drip campaigns.  For that, you'd want the 3rd-party addons I mentioned.

    6. You can set up a text box in CRM where you could add "tags", but it's not as formal as a tag cloud.  But from there, you could build dynamic marketing lists that could indeed check that tag box for key words, and add people as you add tags to them.

    7. Yes, and Yes.  Marketing lists, and you can have people in as many marketing lists as you like.

    8. There is a whole API you can use with Dynamics.  You can even use Microsoft Flow to do code-free/low code integrations to Dynamics.

    9. The response you got is correct.  The Portal add-on is how you would get web forms.

    10. Business Edition doesn't actually exist.

    11. No, you don't.  Just get the parts you want.  (Plan 1, is the simplest thing to order for your needs)

    12. Invoices in the Sales module are not really financial invoices.  You can consider them a place to store the information the sales team.  You could, kinda sorta, use them to print invoices and sent them to your customers, but there's no bank integration, no automated invoice runs, or any of the stuff you get with a financial system.  (which might mean you actually need Finance or Operations if you plan on going that far dow the path)

    13. Essentially, yes.

    14. Yes, Dynamics supports multi-currency.  you will need to set up and maintain exchange rates, though.
