Duplicate Task Creations

Hello everyone!

Looking for ideas on best practice for a scenario involving duplicate Tasks. 

We have numerous task-generating workflows that trigger on various Date field changes on their parent record.  Unfortunately, these date fields tend to change more than a few times, which then generates a duplicate task.

I'm aware of a few solutions to prevent the duplicate task from generating (marking the parent record and efficient duplicate detection rules).  However, this solves half of the problem.  Ideally, we would want a solution that also updates the existing Task's due date.

Any ideas?

    Hi

    I have had a similar scenario and I created a lookup field for the task on the entity. For each type of task, I had lookup on the main entity, in my scenario, it was the case entity. Whenever the workflow triggers on field changes, I first check if the lookup field has value for that particular task. if it does, I just update the task I do not create a new one. And if the lookup does not have data, I create a new task and also update the entity with new task lookup values.

    Hi,

    If you also want to update the existing task then you have to retrieve it and then update it with the due date. Unfortunately you can't retrieve records in workflow so yopu have to write you own custom workflow activity which first check if the task is already exists with the same details or not before creating it. If it existing then update the date on the same task with the updated date.

    Thank you for the quick and thorough response, as always.  I personally would prefer using this method to keep the solution using OOB functionality.  Unfortunately, the project lead does not want to create anymore additional fields for the main entity.

    So I'm stuck with trying to figure out how to create a sort of 'check' condition directly on the Tasks associated with the main entity.  I'm hoping either of these two Workflow solutions will have something useful, but I haven't been able to run through all of their features yet.

    Though it depends upon what exactly you want to check but Workflow Toolkit has an activity to Query values which may be usefull.
