Track without Regarding

Posted on by 2,645

I am looking for a way/setting that will prevent the system from generating a new record if the contact doesn't exist in Dynamics when Track Without Regarding is selected. It want my users to have to select the + to add contact to the CRM first.

Please let me know, thank you.

I thought this would do the trick, but the following happened:

I unselected the Auto Create Contact feature like you suggested. Here is what happened:

The Outlook App still allowed me to track the email, but since it didn’t create a contact record, I didn’t know where to find it in Dynamics. I eventually located it under Activities but it was automatically marked as Complete so it didn’t show up on the main views.

The system is misleading as A) It gives you a message of Successfully Tracked (which is technically true) so people will think they are done and the email is saved correctly. B) Nothing is making them create a contact first before tracking it so it shows up on the contact record which is the whole point of asking people to tracking their activities in the first place.

This is either a big training issue and then relying on people to remember to not use the Tracking feature. Otherwise, do you know if there is the ability to deactivate Tracking? This would force people to always choose Set Regarding and forces them to tie it to an existing record. If the contact doesn’t exist they would need to set one up at that time.

    Hello,

If a user logs into Dynamics, they can click on the gears icon in the upper right hand corner > click options > click email tab and then deselect the below option:

Otherwise, globally you could install the OrgDbOrgsettings tool and then flip this option to "false" for the whole org:

    Thanks,
