How to limit emails per hour for campaigns and mass mailings

I would like to use campaigns or quick campaigns to send email blasts to our customers. Our email limit per hour on our server is 500 per hour although our customer list is a few thousand long. Is there any way to set up microsoft dyanmics so we can throttle, or otherwise limit, the number of emails going out per hour so we can fall within our allowed emails per hour? Ideally, we would like to set it up so 400 emails go out in one batch per hour....can this be done with workflows or any other plugin or process?

    Sean,

    If you were going to go down this path, which I generally wouldn't recommend, then what you could do is to create on OnDemand Workflow that could be applied to up to 250 records at a time. And then apply that based on a manual process to each successive view of records. Break your records into chunks by creating several Adanced Find views ie A-F, G-M, etc.. You will need to allow time for workflow to process as you budget against your 500/hour limit.

    Sean,

    Because it isn't a best practice. It leaves a lot of issues on the table - list manaement, bounce management, unsubscribes, click through tracking, open rates and most importantly exposes your corporate email IP address to being black listed.

    Your service provider is already monitoring your system to make sure that you don't send significant volumes of bulk email. I wouldn't be suprised to learn that they are equally sensitive to complaints about spam. Remember SPAM is defined by the recipient not the sender. So all it will take is a few compainers to your ISP to get you shut down. Or if you send too many bad email addresses to an ISP like Time Warner they will block your IP address from further emails. This will create havoc for your 1 to 1 personal emails to that service provider's email clients.

    And finally it isn't scalable. What happens when your email marketing becomes even more successful and your list is 2x fold?

    Hi Jerry,

    I have the exact same questions as Sean.  You mentioned why a Quick Campaign is not a good solution but what is the alternative?  Thanks for any recommendations.

    Hi Gus,

            We ended up going with a hybrid approach where we export our lead list from the CRM for more generalized mailings to thousands through another mailing tool / software. We then have also set up quick campaigns for more personalized emails that originate from our CRM Users and limit the number of users in the quick campaign to about 200 or so. We then send these mailings in intervals of every few days so we can track responses. This approach seems to be working out well for us at the moment.

    Thx Sean,

    Did you ever look into setting up a Group using "Dynamic Distribution Lists" in Exchange Online?  That option appears to be the method I'd like but I'm having trouble finding out how to set one up.  I saw some help screens about Windows Powershell but I'm not familiar with it.  I'd like to find a tool within Exchange Online or Office365.

    We never went down that road although it does sound interesting. It turned out really needed a dedicated mass mailing tool that was separate from outlook / exhchange

    The only other solution is to use a third party integration between CRM and a business class email system that gives you the parameters you need.

    Here is Microsoft's answer: Setting up a Dynamic Distribution Group in Exchange Online, using Windows PowerShell cmdlets.  See link: help.outlook.com/.../dd439355.aspx.  Now all I need is to find someone who knows how to use PowerShell !!
