Emailing statements

Posted on by Microsoft Employee

We want to email statements to companies and individuals who have opted in to have them emailed rather than mailed to them.  I have found how we can email the statement but then when we run what statements still need to be distributed the emailed statements are still showing up.  We want to set it that those statements that are being emailed do not show up as ones that still need to be printed.  We are trying to cut down on our postage and paper usage.  Can somebody advise me as to how we can set it within our Dynamics GP 2013 system to email the statements and ensure that they will also not be printed?  Thank you.

In the statements window, click the Email Options button near the bottom--do you have it set to Print AND Email?  If so, try changing it to just Email--I thought that was expressly for what you want--it only emails them and doesn't print those that are emailed.

    Thanks!

There is no default setting, even in GP 2013, that segregates them.  However, looking at the Print Receivables Statement options, if you could hijack one of the fields in the 'Ranges' field, such as 'Type' and use a different Type value in the Customer Card for customers who get emailed statements versus those who get printed statements, and run a separate statements batch for each of those Types, that might be your solution.

It doesn't? I believe that previous versions were not able to but GP 2013 can.  We were able to set it yesterday where we were emailing statements out of GP but we couldn't designate to not print those that we have set to email.  So, we're 50% of the way there.  We are able to get them to email out but we want them to then be designated to not print so that we're not doubling up on them.  I'm trying to figure out how we can email them but then ensure that the statements that we emailed do not also print.  Thank you.

GP out of the box does not do this.  You need a 3rd party app like Report Viewer to accomplish this - www.gpreportsviewer.com/demos.
