Subreport could not be shown - only when report is run from CRM

ReportReport
Posted on by

The saga of trying to understand Reports continues and today I find that when I browse to the report server, the report shows it's subreport just fine. If the same report is called from the run report in CRM the subreport cannot be shown.

These reports also run fine if loaded into the SSRS report studio.

I tried downloading Quote and Quote Sub-Report - and succeeded in uploading them under new names. With NO CHANGES the "NewQuote" report can't display either the stock sub report or the freshly uploaded one.

Does anyone know where I can get insight into why CRM is acting like this? I have Tarla's book.

Open the subreport definition in CRM and check that the parent report lookup is populated. If not, check that the name of child report that you are referencing in the parent report is the same name as the child report you have uploaded. Also check that there is not more than one parent report that references the same child report as this can also prevent the link from being made.

    Hope this helps

I think I will wear a Dynamics logo for Halloween. That should frighten the children...

There is a fussy protocol in force for uploading the report and sub-report to CRM that isn't apparent after downloading the built-in report(s) and trying to work with them in SSRS (the studio).

To be able to run the report while editing, the custom subreport has to be on the server - so I would upload a revised sub-report, and select it from the sub-report properties of the main report in the studio edit. From the studio, it would run.

So that was grand, and I'd suggest leaving things that way until you have the two files looking great.

Then, I deleted the custom subreport in CRM. In the studio edit window, change the subreport's "Use this report as a subreport" field to the name of the subreport only. In my case I just deleted the server part of the name.

Next, Upload the custom report, save and close.

Then, upload the subreport carefully matching the names used above. With luck, it will show your custom report as the parent report. If it doesn't - check the names of the sub in that parent report.

When the parent field gets filled with the proper report name, you can expect output.

To summarize: Getting the report and subreport to work in the studio means you have to revise the subreport values in the report, and then upload the report and the subreport in that order.

Thanks, I tried to be methodical. I started by downloading the report and subreport. Then I renamed the quote and tried uploading. Took a while, but I figured out how to select the subreport and so on. I can still run the unmodified Quote. I got my header and footer working in the modified quote and then started working on the sub-report. I got things to work in the report studio, but always with names like QuoteNew and QuoteCustomSub. The modified quotes sometimes worked fine with the stock sub-report. As you can tell I've had trouble learning what CRM needs to relate the quote to the sub-report - since it all works from outside CRM.

It's risky to edit the OOB reports, I suggest you to create new reports.

Yes, trying to display CRM data from CRM. SSRS - I'm using the report Studio to revise the .rdl file that I download - don't know any other way to modify existing reports. But I have downloaded Quote and Quote Sub-Report and then uploaded without modifying anything but the name, and still it can't display the sub-report.

So this seems to be a case of not knowing what CRM requires in order to succeed.

Do you want to display data from the CRM or from another data source ?

If you want to display CRM data, create the report and then upload it directly in the CRM (no need to pass by the SSRS server), the CRM must also be uploaded directly in the CRM.

The magnetism link has a nice step-by-step but it leaves details out. I will try to see if a comment there gets a reply. I can only choose sub-reports from the report server file list - never from my local storage. Also, it's gotten cluttered in there - is there some way to clear out the reports and subreports that I've given up on? They stay in the report server folder even after I delete them in CRM.

    Hello,

Here is a complete procedure to set a report with sub report in CRM, check that you had done all the steps and particularly the setting of Parent Report : www.magnetismsolutions.com/.../sub-reports-in-dynamics-crm-and-ssrs-run-on-multiple-records

If you want a workaround, here it is : www.powerobjects.com/.../dynamics-crm-sub-report-not-displaying
