Voiding RMA's - Info needed please

Posted on by 9,142

Hi

We recently took over the support of a site and until this week, I was unaware they even used Service.  This is not an area widely used in New Zealand, so I have little experience with it.

The client is wanting to know how to delete or void an RMA.  This is the screen shot they sent me:

Now while I could just say - hit the Void button, I know that in Sales Order Processing it is not always a good idea as often the Inventory will be out of balance if you void the transaction.  We generally tell our clients to avoid voiding if they have inventory items on a Sales Transaction - unless they remove the line items.

Are there any pitfalls like this for RMA's?  Does any one have any links they could provide that I could use for a "crash course" on some of these processes?

Cheers

Heather

    Hi Heather,

We're not using the Field Service module neither, but according to the user manual, the RMA Void should be the way to go :

    Void an RMA

Voiding return documents is different than deleting them because they are moved to history, so they remain in your records.

If an RMA has been received already, you can return the inventory to the customer or scrap the inventory. You also can print a Return document to give to the customer.

If the inventory is not owned by the customer, an inventory decrease adjustment will be posted.

The following conditions must be true before you can void an RMA:

    • The Void Documents option must be selected in the Option Security – Returns Management window.
    • The RMA was not created from a Service Call parts line.
    • Work Order document, RTVs, Inventory Scrap documents, and SOP documents don’t exist for the RMA line item. Any of these items can be voided manually.

    Open the RMA Entry/Update window.

Field Service > Transactions > Returns Management > RMA Entry/Update

Enter or select the RMA number of the record that you want to void. The original information is displayed.

    Click Void.
