Auto-generating a Project and Request for Resources from a Product Sale

Hello,

New to D365 and Project Ops - our business requirement is to launch a Project at the time an Opportunity Closes as Won.  The project timeline, tasks and resources are determined by the products sold (Quote Line Item Details).

Ideally, every Product would be tied to a Project Template which has a schedule of tasks which have been assigned generic resources and estimated hours.  From the Opportunity, the Sales Person could click a button that says "Generate Project" , which would:

  • Create a new project from the Template
  • Name that new project as "[Opportunity Name]+[Product Name]
  • Kick off Resource Requests to a staffing planner to fill all of the Generic Resources found on the Project Template

Given we can't seem to find Template functionality in Project Ops, how do we accomplish this goal?

Thanks!

Angie

You can use Power Automate Cloud Flows (or .Net plugins if performance is key) and the Project Schedule API to automatically generate all the various components including projects, project tasks, project team members, resource requirements etc...

We had a similar requirement and found the new Project Schedule API fulfils all the automation needs we've had so far. It does need some convincing to do certain things, but so far haven't found automation limitations.

The specs for the Project Schedule API, including Power Automate examples are here: docs.microsoft.com/.../schedule-api-preview

Thank you.  I see that you can attach a project to a Quote Line or an Order Line Item.  Out of Box that field is a lookup where you can either find an existing project or + New Project.

I think our ideal process would be to have users click +New Project, which launches the correct template that matches the product-based line chosen.

    Is that possible?

Or, is it better to have +New Project launch a list of Template names that the user chooses from, and then the API's fill in a blank project with the Template task lines, estimated hours, and generic assignments?

    Thanks,
