Storage limit will be decreased?

We got this message this morning on our CRM Online, saying"your storage limit will be decreased soon". I tried searching for this message but couldn't find any info about it. Does anyone know why this would be happening? Is there something we can do to stop it? We do have a fair amount of free space but surely it's better to keep it there for future enquiries and records etc?

Thanks,
Jonathan

Out total Dynamics 365 service health shows that we're currently using 55.13% of our capacity.

Here is a similar scenario, which showed false notification "Exceeding storage limit" when only 28% of storage was used. It was an issue from their side and was resolved by the Microsoft support team. I think you should raise the issue to Microsoft support team.

I would suggest to raise service request to Microsoft, to ask why is this alert popping in, when you are not even near the threshold of storage. Storage threshold is usually 80-85% of total storage you have and then you receive notification.

If something wrong has happened at the backend, you must enquire about it and let Microsoft be aware of it.

What does your storage usage percent in "Resources in use" show?

Have you cut down the number of active users in your CRM recently?  Basic storage is related to number of users.

    Hi Meharin,

Thanks for your help. I think I understand the idea of running close to your storage capacity and then receiving these messages. What I'm confused about is that we're not near our storage capacity yet, and we have a message saying our storage is going to be *decreased* rather than it's running out or we need to increase it. Do you know why this happens? We don't want to decrease our storage capacity.

    Thanks,

    Jonathan

RE: Storage limit will be decreased?

    Hello Jonathan972,

These are some details regarding CRM online storage.

By default we get 5 GB of storage space when we buy MS dynamics CRM online. When you exceed or approach the storage limit, you will start getting storage notifications( like the one you have received).

You can check your current storage utilization like this :

Go to Settings-> Administration -> Resource in use

Here you can view the number of entities, workflows(if any) you are using at present.

If you want more storage, Click on the " Visit the subscription Management page" for purchasing. You will be landed onto the Office 365 Admin Center.

Click on Billing-> Purchase services ->Add subscription

You can now choose the required storage service from the list of options provided.

    How to reduce storage consumption?

In addition, you may have system jobs that are already completed but yet stored in your CRM. To save this space, check the box that says "Automatically delete completed workflow jobs (to save disk space)” as shown below (at the time of workflow creation)

Also refer to the following link on saving storage space in online CRM:

I hope you found this helpful. Thank You :)
