Dynamics OneDrive Integration vs Sharepoint CRM

Posted on by 240

Hi,

I have a customer who wants to use Onedrive integration in CRM to store documents. They have five salespeople.

When should onedrive integration be used vs the Sharepoint? If they would like to share these Files to other employees sharepoint needs to be configed right? With the onedrive integration it's only private (users file)?

Any input on that? When should i use onedrive vs sharepoint?

    Hi,
Yes, you’re right! OneDrive integration in CRM is ideal for individual storage and personal documents since files stay private unless shared. This makes OneDrive a good choice for personal work files that don’t need wider access. But for team or organization-wide sharing, SharePoint is the better option. Unlike OneDrive, SharePoint is designed for collaboration, offering more tools for team workflows, easy integration with Microsoft 365, secure access, and customization options. SharePoint’s advanced sharing, document management, and automation capabilities make it the ideal platform for businesses needing a central hub for document sharing, collaboration, and secure access across teams.
For integrating SharePoint with Dynamics 365 CRM, one of the best apps is SharePoint Security Sync by Inogic. It easily connects CRM with SharePoint and ensures that SharePoint follows the same security settings as CRM.
The SharePoint Security Sync app also comes with a variety of features that help manage documents efficiently, keep them secure and private, and improve CRM storage management.
Key Features of SharePoint Security Sync:
Security Sync: SharePoint Security Sync automatically syncs Dynamics 365 CRM security roles with SharePoint, replicating any changes made to a user's security role in CRM.
Custom Folder Structure: Users can now set up their own folder structure in SharePoint to organize CRM documents and attachments, without having to worry about SharePoint's 5,000-file limit.
Metadata: In SharePoint, metadata allows users to customize document organization by adding various types of information, and map it with CRM fields. It effectively improves the searchability within SharePoint.
File-Level Syncing: Enables users to sync files based on access-level privileges (Users, BU, PCBU, Org, or none), ensuring that files and notes are visible only to authorized access holders.
Security Template: The Security Templates entity controls user or team’s access to various UI features in SharePoint, including Upload, Download, Email, Copy Link, and Rename.
Modify Security Role: Security roles assigned to CRM users in Dynamics 365 can also be modified and replicated in SharePoint.
Migrate CRM and Email attachments to SharePoint: Users can migrate documents from CRM and/or Email directly to SharePoint.
File Management UI: User can easily upload, download, rename, create folder, copy link, in SharePoint from within CRM through intuitive UI.
Bulk Migration Job: Allows users to configure the bulk transfer of attachments from CRM to SharePoint while displaying the details and status of migrating attachments from Activities, Notes, and Sales Literature.
To try out the app, you can start a 15-day free trial by downloading the SharePoint Security Sync app from the Inogic website or Microsoft AppSource. If you need help or would like a demo, feel free to reach out to us at crm@inogic.com

By the way, isn't there a possibility to use Onedrive for Business to share documents between users? Or is sharepoint the only way to use shared documents between salespeople? Thanks!

    Hi,

If the salespeople want to collaborate on their documents, then SharePoint might be good. If those documents are personal to each sales person, then OnDrive is a better option. In Any case, you need the Sharepoint enabled on the entity under question. After this, a sales person can come and attach a document to the entity, that document can be either a sharepoint or a onedrive document.

In summary, without one drive integration, you will be able to link to documents to Share Point only, with one drive, you can link to the user personal OneDrive.

    Thanks
