Auto-population of record fields

Posted on by Microsoft Employee

I'd like to create a workflow to allow auto-population of fields between Leads > Contacts > Accounts > Opportunities and Quotes/Orders. How? I'm not a developer...so laymen's terms!

Thanks,

Kathy T.

    Hi,

With no coding required, we can use the business rule and workflow engine to automatically trigger and execute field updates.

You can use a business rule to set the value of a field using the Set Value and Set Default Value actions. You can choose between setting it to equal 1.) a specific value that you determine, 2.) a value resulting from a formula that you define, 3.) the value of another field from within that entity that you are working on. Business rules execute on change. See: www.crmsoftwareblog.com/.../business-rules-key-programming-knowledge-ms-dynamics-crm

If you need to populate a field with a value originating from a related entity, you can use workflows using the Update Record action. Workflows execute when the record is saved. See: crmbook.powerobjects.com/.../workflows

Does it take a workflow to update the fields from the source to the target?

    Thank you!

    Hi Kathy,

OOTB, CRM provides functionality to auto populate certain fields.  For example, you start with a Lead.  When you convert a lead to an Opportunity, a Contact and Opportunity record is created with some fields populated.

Auto population of records can be done in many ways depend on your requirements.  You can use mappings, business rules, JavaScript, Plugins, and Workflows to auto populate fields.

First thing to do is define your requirements, and then each requirement can be handled in an appropriate way.

    Hi Kathy,

If you are you looking to populate default values when you qualify a lead and populate the Account, Contact and an Opportunity you can do this through "Mapping" that can be setup between the entities.

Please check out the following which should help you a lot (I hope)

    Thanks much,
