As the title says, we are thinking about switching to automatic e-mail sync with Dynamics. What we didn't found in the documentation is whether the whole inbox of the user will be synced retrospectively or just new e-mails after changing the sync setting in the personal settings will be synced.
Hi Kiril,
Email messages from Dynamics 365 apps Leads, Contacts, and Accounts. Tracks email messages only if they originate from someone with a Dynamics 365 for Customer Engagement lead, contact, or account record.
Note
By default email in your Sent Items folder within Outlook will not automatically appear as tracked in Dynamics 365. An optional setting is available to automatically track items from the Sent Items folder. If an administrator enables this setting, the personal options mentioned above will be used to determine which sent emails are automatically tracked. For more information, see Automatically track sent folder items with server-side synchronization

Thank you for your answer. My question was about, whether old e-mails will be synced?
E.g. a contact which exists in Dynamics has sent me an e-mail a year ago. Up until now, I did not sync any e-mails with Dynamics (No email messages). Today, I chose to sync "Email messages from Dynamics 365 apps Leads, Contacts, and Accounts". Will that e-mail from a year ago be synced with Dynamics?
Hi Kiril. You have this option on the Email Profile found under Dynamics 365 -> Advanced settings -> E-Mail Configuration -> Email Profile (e.g. Exchange Online) that the mailbox for the user or queue is configured to use. It's under the Advanced section on the form where you have the field "Process E-mail from:" where you can specify date and time.Best regards.Philip
Thank you, found it. So if I choose, e.g. 01.01.2020 there and "Email messages from Dynamics 365 apps Leads, Contacts, and Accounts" in my personal Sync settings, then anything that I received after 01.01.2020 from the respective Lead, Contact and Account will be tracked in Dynamics? Do you know if the "Set Regarding" field will be populated, when those Activities are tracked?
Hi Kiril.Yes, depending on your tracking settings on the mailbox sync, personal tracking setting and smart matching rules in D365 it will search through the Exchange mailbox(es) from this date/time and see what email objects that should be tracked. And yes these object will be tracked(set regarding) like email conversations it matches to a lead for example.Do keep in mind when setting this a long time back it will take time depending on the amount of objects it will need to process for that exchange mailbox, and if I recall there are throttling taking place, like how many items the server-side sync will process in one go.And if you have many mailboxes using that e-mail profile, yeah it might be alot to process..Here is a MS article on what settings determines what is going to be tracked.https://learn.microsoft.com/en-us/power-platform/admin/email-message-filtering-correlationBest regards.Philip
